Job summary
To provide an efficient and effective clerical service to the Capital, Estates & Facilities team.
The post holder will provide an efficient and professional administration service ensuring quality service to all users.
The post holder will ensure that all administration processes are carried out in a timely and accurate manner.
To have a flexible approach in providing administration support to the CEF teams
Communication will be required via telephone, face-to-face and TEAMs therefore good communication skills are essential.
Main duties of the job
- To process requisitions and official orders all in accordance with the Trust's Standing Financial Instructions on behalf of the CEF Managers/Supervisors.
- Liaising with the Suppliers and making sure all correct information is given when orders are being placed & prices.
- Liaising with all departments to book service or requested new works, making sure all correct information given to the supplier.
- Attending site visits every month making all units are all running smoothly with invoices and orders and if problems raised these are logged the relevant managers.
- Making sure spreadsheets and financial related documentation are up to date end of every month sent to Management accounts.
- Good receiving and confirming invoices on E-Series, liaising with Accounts Payable any invoice queries.
- Dealing with procurement making all framework contracts are in date, any queries with suppliers and also making sure all new contracts
- Provide data and information on an agreed time schedule.
- To provide a professional, friendly and efficient image of the CEF Directorate
- To ensure administrative duties are carried out accurately and in a timely manner.
- To send appropriately worded e-mails/instant messages in line with GMMH policy.
- To establish and maintain effective communications with members of the NHS trusts and other agencies in order to present a professional, friendly and efficient image of the CEF Directorate
