Job summary
To provide comprehensive secretarial/administration service to the ANPs and other professionals, along with formatting of clinical letters and arranging outpatient clinics.
Main duties of the job
- Diary management for ANPs and other professionals to complete day to day tasks.
- To make any necessary travel/study leave arrangements, to arrange service meetings, book venues, order hospitality, compile agenda along with taking and producing minutes efficiently.
- To co-ordinate general Admin office functions, providing a comprehensive administration service to the multi-disciplinary team.
- The post holder is responsible for ensuring they are proficient in the use of Microsoft office software, including Excel, Word and Powerpoint packages for corresponding, storing and producing documents and information as required.
- To be responsible for smooth running of office functions including the management of outpatient clinics, stationery ordering, petty cash management, including the day to day supervision of admin staff ensure cover at all times.
To supervise junior staff including where appropriate, to maintain anoverview of the administration function and workflow within the team.To work independently, prioritise and organise own workload taking into consideration the competing demands of the service, and ensure that all administration is carried out within the set timeframe.
Dealing sensitively with any complaints, problems or issues arising highlighting and where necessary referring the situation to the Team Manager as appropriate.
