Job summary

We are looking for an enthusiastic and experienced emergency preparedness resilience and response support officer. This person will work support the Emergency Preparedness Resilience & Response (EPRR) Officer, providing administrative support to the annual programme of work for EPRR/Core Standards compliance. Some understanding of EPRR/Business Continuity practice and procedures is essential. The post will be a mix of working from home and attending sites as required.

Main duties of the job

The role will primarily be administration support based, including the provision of administration support to regular meetings (minute taking/action log tracking etc.), but with a wide-ranging opportunity to develop experience in the emergency planning sphere. A background in emergency planning is desirable but not essential.

As a member of the EPRR Team, the post holder will be responsible for day-to-day administration, management of the Business As Usual Single Point of Contact inbox and act as the main point of contact for the team. They will also undertake emergency preparedness and business continuity duties allocated by the EPRR Officer, including response to emergencies and service disruptions, undertaking exercises and support the EPRR Officer in the review and update of essential plans and other documents.

Job description

Job responsibilities

The successful postholder will:

Act as the main point of contact for the EPRR team and manage day-to-day administration, including acting as secretariat to EPRR relevant meetings.

Assist in ensuring EPRR plans are up to date and validated through the Trust governance processes.

Undertake Loggist training and support incident response as a Loggist.

Support the development and delivery of EPRR training and exercising across the Trust and maintain an audit trail of all training records and delegate attendance in relation to EPRR requirements.

Support the EPRR team with relevant audits across the Trust footprint.

Support the EPRR team with monitoring of shared email inboxes.

To work collaboratively with the EPRR Team to support the building of resilience, capability, knowledge, awareness and to promote and raise the profile of EPRR within the Trusts Operational and Corporate Services.

Assist in maintenance with the EPRR intranet pages to ensure the latest guidance and information is available to all staff.

Co-ordinate reviews & updates of Directorate & Service Level Trust-wide Business Continuity Plans to ensure they are periodically reviewed and updated in a timely manner.

To co-ordinate EPRR course / event advertisements and bookings.

Analyse data and prepare reports related to EPRR, including collation of evidence for formal EPRR submissions.

Review and audit lessons identified and notable practice arising from incidents, training, and exercising.

Undertake EPRR projects as delegated by the EPRR Officer and provide support to the EPRR team to meet overall team objectives.

Take every reasonable opportunity to maintain and improve self-development including professional knowledge and competence.

Undertake personal development and training to enhance skills and expertise and keep up to date with the latest learning and guidance in relation to EPRR.

Participate in an annual collaborative appraisal process to enable achievement of objectives and management of learning needs.

Contribute to the development and learning of others, sharing EPRR expertise and knowledge with all staff and the development of a continuous learning culture.

Develop and maintain communication with a range of people (including commissioners, clinicians, managers, and other stakeholders) on complex issues and ideas and to deliver this in potentially sensitive situations.

This post will, in exceptional circumstances, include some evening and weekend working where required by the Trust, overtime, or Time off in Lieu (TOIL) will be available for these hours.

Arrange EPRR related Committees, meetings/virtual meetings and events providing full admin support including Minutes, maintaining action logs, preparation of presentations, training slides, posters etc.

Develop and maintain systems and databases for collating information on Directorate Business Continuity, Evacuation & Shelter Plans, training logs, EPRR And Business Continuity

Support the maintenance, update and testing of Incident Control Centres across the Trust

To develop and implement new ways of working within the EPRR team in line with the strategic objectives of the Trust
