Job responsibilities

• Supervise, organise the workload of and motivate a customer facing Materials Management team that provides a professional supply chain and logistics service.

Lead in the implementation and maintenance of a inventory managed service, undertaking the day-to-day ordering activity on behalf of the customer.

• Replenishing goods at ward and departmental level using bar code systems as appropriate. Receive, check, and put away deliveries ordered via materials management service. Ensuring that items are rotated and do not exceed expiry dates, stored in the correct location maintaining a clean and safe working environment.

• General tidiness of store areas will form part of a supervisors review of the team members areas.

• The position requires physical effort often in confined spaces on a daily basis such as the manual handling of roll cages and unpacking of products on to the storeroom shelves.
• • Keep all associated paperwork regularly updated in line with code and location changes.
  • Have a flexible attitude to working hours to meet the needs of the customer.
  • Assist with the provision of cover to other areas of Materials Management when necessary, ensuring this is adequate in times of leave and sickness.
  • Ensure compliance with Trust financial instructions and policies.
  • Other duties as required.

  COMMUNICATION

  • Work closely with other members of the Inventory Management and Lancashire Procurement Cluster Team and wider theatre /departmental based Trust colleagues.
  • Communications will involve providing advice either by face to face and by telephone, within meetings, written, letters, memorandum, and e-mail.
  • Resolve customer queries/complaints.
  • Develop strong working relationships with Trust colleagues.
  • Build and maintain strong customer and supplier relationships.

  ORGANISATIONAL RESPONSIBILITIES

  • To purchase goods and services, within agreed targets and for specific customer groups and departments.
  • Develop and maintain a sound knowledge of products.
  • Assist in value for money studies to contribute to savings targets and regularly report spend/savings activity.
  • To participate in the development and performance of the Supply Chain/Materials Management Team in accordance with the Trusts business plan.
  • Ensure that clinical incidents are reported and dealt with in accordance with the Trusts procedures, liaise with appropriate staff and keep records maintained.
  • Advise customers of inabilities to supply and offer alternatives where identified.

• Process and monitor discrepancies ensuring that returns and credits are processed appropriately. Supervisors should provide assistance to team members as required.

• Carrying out quarterly reviews with appropriate theatre /department leads, using system information to illustrate spending patterns identifying products and stock levels.

• Assist team members with carrying out quarterly reviews by attending at least two meetings per annum with each team member under supervision.

• Act as a Super User for Materials Management systems and processes.
• • Advise customers of slow or non-moving stocks and act appropriately for the benefit of the Trust.
