Job summary

To provide and carry out an extensive range of administrative, financial and office duties ensuring the smooth day to day running of the residential accommodation services provided for Trust staff across Wycombe, Amersham and Stoke Mandeville Hospitals sites.

Main duties of the job

Manage the accommodation property database.

Manage deposits, leases and reference requests.

To liaise with cleaning and maintenance staff to ensure that the accommodation is available to let out and maintained in a suitable condition.

To undertake general office duties, including typing and filing, receive and record telephone calls from clients, work colleagues and senior staff within the organisation dealing with calls, enquiries and messages in a professional and empathetic manner.

Re-commission accommodation following estates works

Work within the Accommodation to ensure smooth changeover of tenants and ensure optimum use of all accommodation

To co-ordinate property allocation as appropriate and in a timely manner

Prepare all documentation required for new tenants including tenancy agreements and Guidelines and Information Booklets, IDTV's, exchequer vouchers

Issue keys and document packs to new tenants

To maintain tenancy agreements and ensure that these are kept in accordance with Trust Policies completed, signed and filed.

To respond to the needs for short term lets e.g. for students' doctors and agency staff

Hold contact details for Housing associations

To contribute to the development of policies and procedures relating to accommodation.

Produce Tenant handbooks.

Support the Head of Operations FM and Site Operations Managers when required.
