Support Secretary / Administrator - Breast Services

Job summary

An exciting opportunity has arisen for a motivated, proactive support secretary within the Breast services team based at Ipswich Hospital. This post is part time, 18.75 hours per week to be worked Monday, Tuesday and a half day on Wednesday (this may be subject to change upon needs of the service)

This post is fixed term until 30th April 2024. Internal applicants currently employed by ESNEFT will be offered on a secondment basis only. Please ensure you have discussed this with your line manager.

This is an exciting time to join the friendly and patient focused breast care team as the service has recently moved into a new dedicated breast care centre on the hospital site.

The role will include managing all of the administrative functions of the Breast Service as well as supporting the management of the theatre diary, processing Electronic referrals, audio typing of clinical dictations and support with data quality queries.

The post will suit someone who is an excellent communicator, able to manage their own workload and has the ability to calmly prioritise tasks when faced with conflicting deadlines.

Main duties of the job

  • To coordinate the provision of high quality, patient focussed service for patients referred to the Breast services including the Breast clinics.

  • To provide administrative support to the Breast service, including managing Electronic referrals, booking appointments, out coming appointments, typing letters and assisting the operational coordinator to produce accurate data for national and local reporting requirements.

  • To provide a professional and welcoming reception service to patients attending Breast Services, including the Breast Clinic.

  • To act as a chaperone for patients attending the Breast clinics.

  • To provide secretarial support to the Breast Service Team to ensure patients and primary health practitioners receive correspondence within Trust timescales.

  • To ensure onward referrals to secondary care services are completed and processed in a timely manner.

  • To act as first point of contact for all queries in relation to the breast service.

  • To attend Multi-disciplinary Team meetings to ensure all actions and recorded and completed in a timely manner.

  • To support theatre bookings to ensure theatre utilisation meets required targets
