Accounts Payable Officer

Job summary

As part of our busy Finance team, you will play a key role in ensuring the Trust's payments and income are processed accurately, efficiently and in line with our Standing Financial Instructions.

In this role, you'll take responsibility for making sure all invoices are handled promptly, correctly, and followed up within the department's performance targets. You'll also organise and coordinate the day-to-day work of our Accounts Payable Assistants (although this role does not include line management), helping them to deliver a high-quality, timely service.

Main duties of the job

  • Assist the Accounts Payable Manager in ensuring the timely and accurate payment of all invoices, actively investigating any discrepancies and making sure invoices are fully prepared for scheduled payment runs.
  • Proactively follow up and chase any invoices awaiting approval to avoid delays.
  • Coordinate and monitor workloads across the Accounts Payable team to ensure tasks are completed within agreed timescales and all Accounts Payable processes are carried out to a high standard.
  • Support the Accounts Payable Manager in reviewing and streamlining processes to improve efficiency and enhance the performance of the team.
  • Work collaboratively with the wider Finance team to help deliver an efficient, responsive and high-quality Finance service for the Trust.

  • Oversee the timely and accurate processing and payment of invoices, resolving discrepancies, managing batches in Proactis, and ensuring compliance with Standing Financial Instructions and payment targets.
  • Support the Accounts Payable Manager in leading the AP team providing guidance, training, performance monitoring, and helping implement improvements, SOPs and bestpractice processes.
  • Manage key monthend duties, including accruals, statement reconciliations, supplier account management, VAT accuracy, and ensuring financial information is recorded correctly for periodend reporting.

  • GCSE Maths and English and/or able to demonstrate equivalent training or experience
  • NVQ Level 4/AAT Technical Level or equivalent experience

Desirable

  • NHS VAT Knowledge/experience
