Health Records Library EDM Team Member

Job summary

The post holder will work as part of a team to help maintain the Health Records Library, in part, by the EDM scanning process and the Trust's Health Records retention cycle. The aim of this work is to efficiently maintain the Health Record retention and retrieval systems so that records may be available at the point of need.

The post holder will assist in the delivery of the Health Records service and specifically the provision of Health Records from any of the sub library repositories (be they on or off site) including the EDM system.

Main duties of the job

  • To identify and retrieve patient health records from the Health Records repositories in compliance with the Trusts' Health Records Management Policy.
  • To sort and prepare patient case notes as per the scanning procedure to facilitate digitisation.
  • To scan patient case notes using the in-house document scanners to transfer information from hard copy to a digital image format.
  • To quality control scan documents to ensure that the captured data is available and is of an acceptable standard.
  • To dispose of confidential material that has been scanned in the appropriate confidential waste bins.
  • Actively work as a team to ensure relevant records are removed from the Health Records Library and secondary stores to maintain the working environment.
  • To follow procedure to identify patient reference numbers and locate and retrieve patient case notes from any of the site health record repositories as requested.
  • Fulfil third party requests for information by utilising existing technologies (secure cloud storage document transfer services).
  • Liaise with all grades of clinicians and staff, Legal Services Department as and when required to meet the agreed requirements of the provision
  • Report all faults and problems identified with the EDM system software or related hardware to the EDM Administrator and in their absence report them to the Health Records Services Manager.
