An exciting opportunity has arisen to join the Community Physiotherapy & Occupational Therapy Team.

You will be a key member of the Special Schools teams, who provide care to children with coordination difficulties, autism and physical disabilities. Main duties of the job
- To be responsible for associated administrative, clerical and housekeeping duties relation to equipment provision. This includes proficient use of the Community Equipment Supplies (Medequip) system to source, order, track and monitor specific items of equipment prescribed by the qualified occupational therapist/physiotherapist.
- To assist the qualified therapy staff in providing specialist equipment for pupils who attend Special Schools
- To work under the direct supervision of the qualified occupational therapist or physiotherapist and review and monitor the use of postural management equipment both within school and home.
- To provide a high quality and comprehensive administrative support function to the Special Schools Team.

Job responsibilities
CLINICAL
- To liaise with external companies and equipment representatives to set up demos and assessments and attend these if requested.
- To obtain quotes for equipment specified by a qualified therapist.
- To assist in the completion of equipment ordering forms (Medequip, IFR, charity funding).
- To liaise with the equipment team and Medequip to order equipment and track the progress of orders.
- To submit complaints and queries on behalf of therapists on TCES website in line with the feedback protocol
- To report incidents and near-misses in relation to equipment and submit DATIX reports when appropriate.
- To support therapists and therapy assistants in setting up or reviewing equipment.
- To follow the therapists advice and make changes to equipment (e.g. adding or removing accessories).
- To prepare relevant documentation to support the provision and use of equipment.
- To visit Medequip store when required to identify pieces of suitable equipment.
- To contribute to databases relating to children and/or equipment.
- To possess a basic understanding of illness and disability in children.
- To understand safety issues/principles relating to equipment use.
- To be able to advise others (e.g. school staff and parents) on how to clean their equipment correctly.
- To arrange transport of equipment (e.g. via porters) and delivering small items of equipment.
- To safely handle and support transfers / mobility of pupils of various ages and abilities while using their equipment.
- To gather relevant information about a pupil from their records, school staff and therapy colleagues.
- To complete administrative tasks relating to therapy-led equipment clinics in school.
- To be responsible for receiving and passing on relevant information within the school and therapy team. This includes the handling of confidential and occasionally sensitive information

PROFESSIONAL
- To undertake risk assessments on a daily basis in line with health and safety regulations. In particular, undertaking and following risk assessments relevant to moving and handling and use of equipment.
- To accurately document and record basic data related to observation, activity and equipment supplied.
- To comply with the Health and Safety at work regulations and all other health, safety and security standards in accordance with Trust policies.
- To treat as confidential information obtained during the course of duties undertaken.
- To be responsible for and maintain own continuing professional development through an annual appraisal.
- To attend and participate in departmental in-service training.

- To acknowledge any limitations in competence when accepting assigned duties from qualified staff.
ORGANISATIONAL
- To understand the different roles and responsibilities of health and education staff within the Special Schools setting
- To have an awareness of the transition process from primary to secondary or adult services with regards to equipment provision or transfer
- To advocate the family/pupils wishes to members of the school and therapy team with discretion.
- To manage own workload and priorities as delegated by the qualified staff.
- Keep the work area tidy, clean the therapy equipment regularly and ensure that no damaged or problem equipment is used.
- To ensure effective use of time, resources and organisational skills in order to promote an organised and efficient working environment.
- To undertake appropriate administrative and housekeeping duties to promote good practice and efficient organisation of the department.
ADMINISTRATIVE
- To provide a point of contact for written and telephone enquiries to the department, this may involve dealing with complaints e.g., cancelling appointments at short notice or issues relating to waiting times and require the use of sensitive communication, de-escalation, and negotiation skills.
- To deal with simple telephone calls from parents, school staff regarding queries about their child/students e.g., checking appointments. If the query is more complex it is essential that facts are assimilated, and appropriate action/advice is given. Ensure the relevant Therapy staff are informed as appropriate. Escalate any complex/distressed parents telephone calls to the appropriate team member.
- To provide a range of clerical duties including the following:-
- Audio and copy typing of letters, reports, clinical notes and discharge summaries.
- Inputting of new referrals, appointments and therapy contacts onto the Careflow computer system in accordance with monthly deadlines.
- Processing of new referrals, appointments, and therapy contacts onto the EDMS/CareFlow computer systems.
- Inputting and maintaining simple databases, waiting lists and spreadsheets e.g., stationery equipment orders and diagnosis/discharge databases.
