Job summary

We are looking for an enthusiastic Medical Education Officer to provide secondment cover for a fixed term of 20 months. In this important role, you will support and coordinate medical education activities across the Trust, working closely with Undergraduate medical students, Consultants and SAS Doctors, and Education Centre users, to maintain the high standards of medical training.

Main duties of the job

The Medical Education Officer works effectively as part of the Medical Education Team in coordinating placements and training programmes predominantly for the Undergraduate students. In addition, the post holder is responsible for coordinating study leave requests of SAS and Consultants in the Trust. They have responsibility for the administration of the SAS training programme and work alongside our SAS Tutor. They operate as a point of contact for queries from Doctors, Medical Students and other Education Centre users providing support and advice, as well as providing administration and secretarial support for the department.

Job responsibilities

Main duties of the role include:

Organisation and co-ordination of Student Training Programmes, including liaising with University of Leeds Medical School.

Point of contact for Students, providing guidance and advice on a range of training and general issues.

Coordinate and deliver inductions for Medical Students.

Assist students with travel expense claims process, and deliver to Manager for approval.

Contribute to the quality and organisation of placements ensuring students and trainees have a positive experience at HDFT within remit of role. This involves trying to ensure that timetables are up-to-date and clear, and collection of feedback.

Build relationships with departments to ensure quality placements are provided to all students.

Co-ordinate and administer weekly teaching programmes. This involves liaising with the Foundation doctors and other teaching staff to ensure that the students receive high quality and well organised teaching to enhance their learning experience her at HDFT. Working alongside the Education Fellows, Placement Leads and Year Leads.

Co-ordinate Technology Enhanced Learning (TEL) such as VR, and HaloLens.

Formulate and manage PFA period for Leeds and non-Leeds University Students, maximising learning opportunities and acquisition of skills prior to the doctors taking up their roles.

Support with Undergraduate Medical Student Elective Placements.

Create and manage financial spreadsheets for Leeds University budget ensuring they are kept accurate and up to date.

Maximising the use of the Education Centre by taking room bookings, booking equipment and catering. This role involves liaising with centre users to ensure that their facilities needs are efficiently met.

Act as point of contact for Education Centre users responding to all enquiries and advising on facilities within the Education Centre. Instruct Education Centre users on the correct use of IT equipment and provide technical backup for audio-visual equipment where necessary.

Commission services and process invoices.

To administrate relevant software such as Studywise. For example, amend approvers, add new starters and set up allocations. The post holder will approve study leave in principle and potential associated expenses, following the Study leave policy and procedures. Any study leave requests outside this remit will be escalated to the Deputy Medical Education Manager for approval.

Support administration of Easy Expenses, check new requests for evidence and appropriate study wise requests. Correspond with Doctors to make sure all evidence is in place and escalate to Manager for approval process.

Provide SAS administration; support SAS Tutor, organise SAS events and training, coordinate SAS programme. Cover administrative duties of SAS Forum including minute taking.

Simulation administration, support the Simulation Lead, coordinate Simulation Strategy Group, minute taking at Simulation Strategy Group.

Administer all associated shared mailboxes.

Coordinate administrative support for HELM.

Cover workload of the Undergraduate assistant when on leave/absence/working pattern.

Lead day to day workload management of Medical Education Undergraduate team.
