The Ward Clerk role is to act as a receptionist and first line contact for patients, relatives and visitors to the department. To perform clerical and general office duties. The Ward Clerk is responsible for management of case notes for all elective day surgery patients.

Main duties of the job

The post holder will be required to provide a professional, efficient and comprehensive service within the Day Surgery Unit

Using an advanced level of computer skills, the post holder will navigate Patient Administration Systems and take an active role in departmental audits.

The role requires the ability to work under own initiative and under pressure, demonstrating the ability to multitask.

The role requires close liaison with other disciplines and the provision of a courteous, reliable and high quality service to patients, relatives and carers and healthcare professionals.

Job responsibilities

  1. Perform reception desk duties i.e. dealing with Patient enquiries, directing Patients to waiting areas/ward/ ophthalmic area. Ensuring effective communication at all times.
  2. Answering the telephone and taking messages.
  3. Under supervision of Budget Holder manage stationary and routine office items stock levels. Unpack Office stores items and keeping cupboards/shelves tidy.
  4. Liaise with other departments and disciplines on a daily basis.
  5. Collecting notes from medical records library/ secretaries/PAAU and any other department for all day case patients.
  6. Ensure that all notes are tracked to the correct area/department.
  7. Prepare case notes ensuring all patient details are correct. Notes should be assembled following written guidelines.
  8. Admit all day case admissions onto ICS at the beginning of the episode of their care to ensure that the data is live.
  9. Discharge all day case patients onto ICS at the end of the episode to ensure that the data is live.
  10. Ensure that all notes are returned to the correct department i.e. coding and secretaries.
  11. Maintain and update the patient ICS computer system.
  12. Assist in the training of new staff.
  13. To ensure that all mandatory training is up to date.
  14. To assist with maintain Health and safety at work.
