Clerical Officer Team Leader

Job summary

The team leader for the clerical officer team within waiting list is an essential post as this person updates and actions the rota for day to day support of the wider waiting list team, reception cover, sickness reviews, annual leave requests, special leave requests, appraisals, probationary reviews, ensuring all work is covered ensuring all medical records and paperlite packs are requested/ prepared and available prior to elective surgery.

The team leader also ensures that desktops and SOPs are updated as required, and ensuring training pack is organised and delivered to all new starters. (Currently have one advert out for clerical staff member).

The team leader also fills in the gaps on the rota and therefore plays a pivotal role in the success of the team in delivering what is required.

Main duties of the job

  • Communicates with a range of contacts, for example staff from other departments, external clients, patients and their families when on reception concerning both routine and complex information, some of which may be confidential.
  • Be required to prioritise own work and make judgements in relation to, for example annual leave requests to ensure the clerical officer rota is covered.
  • Responsible for the prioritising of own work commitments on a day to day basis, and the planning of the Clerical Officer Rota to ensure the service in covered.
  • Undertake basic clerical tasks such as for example retrieval and preparation of files, production and issuing of already prepared standard letters, distribution of incoming and outgoing post and photocopying.
  • Provide non-clinical advice, information to patients / clients / relatives.
  • Implements policies and propose changes to practices, procedures for own area.
  • Works independently to defined policies and procedures, manages own workload.
