Job summary

An exciting opportunity has arisen for a motivated, enthusiastic and reliable individual to join the Pain Management Team at York and Scarborough Teaching Hospitals NHS Foundation Trust.

Exceptional Secretarial and Audio-typing skills are essential and previous experience in the NHS would be an advantage. The successful candidate will be required to work well under pressure and demonstrate the ability to prioritise the demands of a busy service and manage their time and workload effectively.

The successful candidate must possess excellent telephone communication skills and be able to develop good working relationships with the administrative, managerial and clinical members of our team.

Main duties of the job

The post will provide a varied and interesting workload including but not limited to these key areas:

  • You will be responsible for typing clinical and administrative letters, general administration tasks, as well as covering for the Medical Secretaries or Audio typists during periods of absence.
  • Answering telephone enquiries and dealing with patient queries.
  • Monitoring, maintaining and updating electronic worklists and ensure that items are actioned in a timely manner, and to escalate where appropriate, any patients who will breach the maximum booking requirements for the Specialty.
  • Monitor Consultant annual leave/absence and adjust clinic templates accordingly.
  • Monitor templates for vacant clinic slots and use initiative and judgement to place expedite appointments within appropriate timeframes.
  • Book new patient and follow-up appointments with the appropriate clinician.
  • Check that follow-up appointments have been booked when mentioned in clinic correspondence, arranging an appointment if this has been omitted.
  • Produce reports and other documents as required to analyse worklists and provide information.
