Ward Clerk Tavistock Day Surgery Unit 20 hours per week

Job summary

We are looking to recruit a part-time Ward Clerk to join our established team supporting the Tavistock Day Surgery and Elective Admissions Unit. While previous experience as a Ward Clerk or in administration is desirable, a strong work ethic and willingness to learn are most important, and full training will be provided.

The post holder will provide frontline clerical support to clinical staff, ensuring a high standard of service is delivered efficiently. Under the direction of the Ward Manager, you will also offer a meet-and-greet reception service for visitors, patients and staff, depending on ward activity.

A key part of the role involves the timely and accurate entry of data into Patient Information Management Systems, ensuring admissions, transfers and discharges are recorded correctly. You will prioritise and coordinate patient updates through defined pathways, supporting appropriate assessment, admission and discharge while maintaining an accurate ward bed state.

To succeed in this role, you will need excellent communication and interpersonal skills, the ability to work independently and as part of the Tavistock team, and the resilience to perform well under pressure. You will be expected to meet agreed timescales and performance targets. Basic IT skills are desirable, and NHS experience would be an advantage.

Main duties of the job

  • Ensure elective patients' notes are available to clinical staff the day before admission.

  • Create admission bundles and electronic event packs, ensuring all documentation is prepared and filed in line with the electronic filing policy.

  • Collate and file patient-related paperwork within the patient health record, ensuring all information is accurately and appropriately filed.

  • In line with data protection and patient confidentiality requirements, ensure patient health records are stored securely and never left unattended in public areas.

  • Ensure patient records and names are not visible to members of the public or visitors during the working day.

  • Undertake general administrative duties as required, including photocopying, laminating, handling mail, ordering stationery, submitting maintenance requests, and arranging non-clinical equipment and goods.

  • Arrange and document further clinical reviews or book follow-up clinic appointments, ensuring patients are informed of their appointment prior to discharge whenever possible.

  • Complete all Trust mandatory training and attend any additional training courses identified by the manager.

  • Take, or request the collection and delivery of, urgent specimens or prescriptions from pathology or pharmacy as required.

  • Assist with booking patient transport for those on simple pathways (e.g., Pathway 0 or Pathway 1 Restart), as requested.
