Quality Governance Administrator

Job summary
We're looking for a detail-oriented individual to provide confidential and comprehensive administrative support to our Governance Service. This role is key to ensuring our operations meet Service Line, Trust, and National standards. You'll communicate effectively across teams, helping to drive operational excellence through accurate and timely clerical support.
Main duties of the job
Provide a high standard of secretarial and administrative support including Microsoft Office proficiency, diary management, and meeting arrangements via Outlook and Teams. Handle calls and emails promptly, maintaining an efficient communication flow. Prepare and submit agendas, minutes, action logs, and other papers for Quality meetings. Organise and attend meetings as delegated by the Governance Lead, including minute-taking and supporting follow-up actions.
Manage documents within the Quality Management System and shared drives. Support updates to Patient Safety folders, posters, and learning boards. Assist in preparing slide decks, reports, and sharing meeting documents. Undertake project work such as data collation, input, and monitoring to support Governance and operational reporting. Maintain accuracy in databases like complaints records and training matrices.
Ensure complaints/PALS concerns are appropriately escalated and managed. Communicate effectively with staff, patients, and external stakeholders. Prioritise and reorganise workload as needed to meet deadlines. Attend mandatory training and use Trust IT systems to input patient data accurately. Ensure adequate cover during absences and support colleagues when necessary. Perform other duties within the remit of a Band 3 Quality Governance Administrator for Maternity.
