Job summary

A six month fixed term or secondment opportunity has arisen in the Facilities Helpdesk to Support Patient Transport .

To support the Switchboard, Transport & Helpdesk Manager in the efficient operation of the transport network for Luton & Dunstable and Bedford Hospital and the Archer Unit.

Supporting both Inpatients and outpatients with transport requirements.

Main duties of the job

  • Competent in the use of IT such as windows based systems and also ICT such as telephony, email,
  • Awareness of quality issues
  • Knowledge of Bedfordshire Hospitals policies & procedures
  • Ability to use complex systems such as Cleric, Apex etc
  • Understanding of medical terminology
  • Excellent listening skills
  • Effective verbal and written communication skills
  • Work in an environment where decisions are based upon an ever changing set of disparate circumstances
  • Work on own initiative
  • Prioritise and undertake numerous tasks simultaneously
  • Remain calm under pressure
  • Ability to effectively delegate
  • To check and record all patient transport patients on log sheets to ensure correct records are maintained.
  • Use Trusts systems (Nervecentre) to locate patients, confirm information is correct
  • To check systems (IPM) to confirm patient's appointments are still relevant.
  • Monitor abortive journeys and implement systems to reduce overall numbers in liaison with Line Manager
  • In the absence of Contracted Transport Supplier, print out daily log's sheets for discharges.
  • Booking Taxis as necessary following Trust transport policy.
  • To book couriers for both on site at Luton and Dunstable Hospital and for community sites maintained by the trust
  • Logistics knowledge of Bedfordshire and surrounding areas
  • To be responsible for reporting faults, and maintenance problems within area.

Job responsibilities

STAFF MANAGEMENT

Supervise the Helpdesk staff in all aspects of their duties as laid down in their job descriptions.

To train staff in the operation of Helpdesk procedures and keep detailed training records.

To monitor and authorise timesheets and maintain all annual leave and sick leave records in the Managers absence.

To participate in the recruitment and interviewing of appropriate grades of staff.

To participate in the first line of disciplinary process for appropriate grades of staff.

To keep an accurate record of bank staff duties and work with the Switchboard & Facilities Helpdesk Manager to ensure that bank Staff hours do not exceed the available budget.

To assist in the investigation of the first stage of informal/formal complaints to the Trust.

Conduct appraisals and review regularly.

Cover shifts on transport Helpdesk if required.

Financial

Allocate staff resources (e.g. staff rotas and timesheets)

Ordering Ambulance transport crews when required

Audit and assist with the provision of financial information as required by Stakeholders.

Authorise taxi journeys on behalf of the Trust in the Managers absence and audit all journeys on main Hospital account.

Assist the Manager in budget setting for the Department.

Identification of cost improvement opportunities.
