Job summary
The Pharmacy Procurement team at Bedford Hospital is responsible for the safe, efficient and cost effective procurement of medicines for the Trust and works hard to ensure the best value for money for the trust is achieved when carrying out procurement activities.
An exciting opportunity has arisen for the role of Pharmacy Purchasing Officer to join the Pharmacy Procurement department at Bedford Hospital; a role which will be crucial in delivering a safe and effective medicines procurement service to the Trust.
The successful candidate will support the Procurement Team in the purchasing of goods and services, ensuring that best value for money is achieved whilst complying with all Trust financial procedures and UK procurement directives.
Candidates should possess the necessary interpersonal skills to liaise with suppliers, stakeholders and other departments internally to advise on procurement issues and also with purchasing staff in other Trusts, External procurement hubs and all relevant bodies to identify opportunities for improving value.
Main duties of the job
- To help maintain e-commerce functionality with the Senior Pharmacy Purchasing Officer and to take responsibility of the daily administration of the Powergate EDI system
- To carry out a range of duties associated with ordering/receipt and invoicing of pharmaceutical items using the Pharmacy computer system
- Support the Senior Purchasing officers with the management of drug shortages for the trust, liaising with wards and departments on their use and stock supply.
- To support the Senior Purchasing Officer with the efficient day to day purchasing and stock control of pharmaceuticals, including appropriate sourcing of urgent medicines.

- To raise orders using the Pharmacy computer system, and ensure the placing of these with relevant suppliers, in accordance with standard operating procedures.
- To ensure purchasing is in accordance with the Trusts contracts, frameworks and purchase agreements.
- To process e-commerce orders through the Powergate EDI system, and to help develop and maintain systems of electronic invoice reconciliation.
- To investigate into and resolve problems with late, short, incorrect or damaged deliveries in liaison with the senior procurement officers.
- To chase items on orders with manufactures and wholesalers in regards to them being outstanding. Supports with the investigation of replenishment dates.
- To liaise with the Finance Department concerning resolving problems with accounts and creditors in conjunction with the Senior Procurement Lead.
- To identify when product ordered is eligible for off contract claim i.e. meets all requirements and to inform senior procurement colleagues to take the process forward
- To deal with general enquiries and telephone orders made to the hospital through the Pharmacy office.
- To monitor and respond to queries received to the pharmacy procurement inbox
- To participate fully in the individual performance review and objective setting process of the Trust.
