Job summary

To provide a comprehensive administration and clerical service to the department. A key requirement of the post is to welcome and receive patients/relatives/carers and other visitors into the workplace and maintain the preparation and flow of patient data/information, hardcopy or electronic, ensuring that all data/information is maintained to the agreed quality standard. The post holder will be expected to organise their own workload in order to maintain an efficient and professional service.

Main duties of the job

To provide a comprehensive administration and clerical service to the reception team at Victoria Infirmary, based at the reception desk of our new Cheshire & Merseyside Surgical Centre rotating as part of the reception rota to the hospital's Main Reception desk as well as Verdin House reception. A key requirement of the post is to welcome and receive patients/relatives/carers and other visitors into the hospital and maintain the preparation and flow of patient data/information, hard copy or electronic, ensuring that all data/information is maintained to the agreed quality standard. The post holder will be expected to organise their own workload in order to maintain an efficient and professional service.

  1. Provide an efficient reception service, greeting and booking in patients efficiently, dealing with the general public and helping and assisting visitors as they arrive on site; dealing with enquiries promptly, taking action as necessary and directing patients/relatives carers accordingly.

Provide a comprehensive clerical service to the department, undertaking all relevant work-related tasks including retrieval, preparation and filing of patient information/data, arranging patient transport, booking in patients, dealing with appropriate correspondence, photocopying, emailing, distributing reports and letters according to the requirements of the service, where appropriate.

  1. Maintain systems and processes to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.

  1. Update patient information/data when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for patient information/data as required, filing reports and essential documents in the appropriate place.

  1. Be able to use the required electronic systems for correspondence, clinic management and the retrieval of information as and when required.

  1. Maintain professional and constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients as well as working within an established team of receptionists.

  1. Support patient screening processes in line with IPC guidance.
