Job summary

To provide comprehensive clerical support for the ward. To retrieve/prepare all relevant documentation for the ward staff. To ensure accurate and timely data input on to the hospital PAS system for all admissions, discharges and transfers. To ensure all relevant documentation is filed into medical records folder.

Working hours will be as follows:

Monday to Friday 8.45am - 12.30pm.

Main duties of the job

1. Where applicable, welcome patients and families on to the Virtual Ward, ensuring patient details are correct and verifying with GP surgery when necessary.

2. Using smartcard to access the National Spine to verify patient demographic details and NHS numbers when required.3.Retrieve/prepare all relevant documentation for Virtual ward admissions.

4. To process all admissions, discharges and transfer of patients using the hospital information system (Meditech) in real time.

5. Ensure case notes are kept in good order, attaching all necessary documentation to correspond with patient's admission/transfer/discharge.

6. Prepare any relevant documentation for visit planning.

7. Ensure specialist records/audits are retrieved from hospital notes on discharge and sent to relevant department where applicable.8. Liaise with ward staff, admin staff and other departments as and when required.

9. To deal effectively with all incoming and outgoing correspondence.10. To book interpreters as and when required.

18. Support office administration in the event of sickness or absence.

19. Copy type minutes, relevant documentation for team management.20. Scan records to appropriate folders where necessary.21. Distribute patient information documentation for parents.
