Job summary

We are looking for a dynamic and motivated person, to join The Alder Centre and support our Child Death Hepline Volunteer Training & Practice Cordinator at Alder Hey Hospital.

The Child Death Helpline is staffed by volunteers, all of them bereaved. The helpline is a partnership between professionals and non-professionals working together to provide a professional service to anyone affected by the death of a child of any age.

Smooth administration is vital to the success of the Helpline, in dealing with organising meetings, marketing, recruiting and day-to-day processes.

The successful candidate will be joining our team at an exciting time, with the opportunity to make a huge difference to the polulation we serve.

Main duties of the job

To assist and support the Child Death Helpline Volunteer Coordinator in the maintenance and development of admin and clerical services for the Child Death Helpline activities by providing modern, professional, administrative, clerical services. The primary purpose of the role is to ensure day to day continuity and consistency of service provision to all of the service's users and workers. However, the postholder will also pro-actively identify any areas of improvement and development of administrative and clerical support systems and procedures, consistent with a modern, professional helpline service.

The post-holder will be fully supportive of the vision, mission, aims and objectives of the Child Death Helpline (CDH) and within their role will support the CDH Volunteer Coordinator in maintaining, developing and promoting a modern, professional and evidence based national helpline service.

In their absence, to cover for appropriate tasks related to the work of the CDH Volunteer Coordinator, including attending meetings where appropriate.

Communication

To organise and minute CDH related meetings.

Planning and Organising Skills

The organisation of training and other Centre activities.

To contact conference organisers for the inclusion of Child Death Helpline information in delegate packs as agreed by the CDH Volunteer Coordinator. Where appropriate, to supply other materials and organise logistics as directed.

To organise Child Death Helpline meetings, Quarterly Meetings, workshops and training sessions for volunteers and supervisors, and to provide administrative support for meetings as requested.

Responsibility for Financial and Physical Resources

To monitor and accurately maintain financial records as instructed by the CDH Volunteer Coordinator and Head of the Alder Centre Services.

To assist in the general maintenance of the Helpline Rooms.

Responsibility for Human Resources

To assist the CDH Volunteer Coordinator in the recruitment of new volunteers and preparation of material for training sessions, linking with the National Open College Network or other associated body.

Responsibility for Information Resources

The generation of correspondence and reports, when appropriate.

The provision of data reports on different aspects of the Child Death Helpline work, producing reports and statistics as appropriate, for presentation at Management meetings, and other meetings as required.

The accurate logging of Child Death Helpline calls, preparing statistics based on this.

To be responsible for contacting the relevant advertising publications to maintain regular volunteer vacancy advertising.

To be responsible for updating and distribution of volunteer and supervisor lists, rotas and logs.

To be responsible for responding to enquiries for information, sending out appropriate packs or referring to colleagues as required.

To maintain accurate databases of all mail-outs, information recipients and other contacts as instructed and of all child death data as required.

To be responsible for the Child Death Helpline website administration, working with colleagues to ensure this is regularly updated.
