Job summary

An exciting opportunity has arisen to work as part of the Capacity Management Team administration team. The post is for a Band 3 FTE Permanent position.

Main duties of the job

The main duties of the role include general administration duties: registering new patients on PAS system: listing patients on Care Cube Operation lists, arranging transfers from district general hospitals under the supervision of Hospital Coordinator. Shifts cover from Monday - Friday 08.00- 19.00 and Saturday and Sunday 09.00-17.00. WTE 37.5 hrs. The Shifts worked would be 4 for during the week 9.30 x 3 and 1x 9.0 hours Weekends are on a rotational basis with other members of Admin Team, the hours would be 08.00-17.00 both sat and sun and 2 x 10 hours in the week leading up to the weekend being worked.

Job responsibilities

JOB SUMMARY

The post holder will be responsible for providing an administrative and secretarial service to the Hospital Coordinators.

The post holder will be responsible for assisting with administrative systems to support both the effective management of beds within the Trust and the implementation of Booking.

PRINCIPAL ACCOUNTABILITIES

The post holder will:

  • Provide the administrative/ secretarial support to the Capacity Management Team.

  • Co-ordinate and distribute the Hospital Bed/Site Management rota each month.

  • PPCI service: register all relevant information onto ICS/PAS and EPR Patient Flow system upon activation of the PPCI bleep in preparation for their arrival into Cath Lab, admit, print labels and deliver to Labs once the patient arrives.

  • Converse daily with the discharge team as to possible swaps and in/out transfers to and from the trust, chase up any delayed discharges of patients and provide ad hoc information regarding the same during weekends.

  • Production of general correspondence such as general reports, rotas and presentations.

  • Allocate Manager on-call for approximately 4 months in advance ensuring this is done on a rolling rota.

  • Processing referrals for Urgent Inpatient Transfers, registering of all patient information upon receipt and sending referrals to appropriate consultant. Chase up any missing clinical information as required.

  • Update and maintain the Surgical Urgent Database Keeping records of correspondence, informing referring trusts of operation dates and notifying to stop the necessary medication within the time scales as appropriate. Keeping database up-to-date during patients care.

  • Deal with enquiries by letter or telephone from patients, wards, general practitioners, outside Trusts, other services and agencies.

  • Accept transfer details from other trusts and give loading doses as per protocol, arrange for patient beds in line with transfer guidelines and with the supervision of the Hospital Co-ordinators.

  • Collate information for audit purposes and produce reports.

  • Listing for Cath Lab lists. Update and Amend Ops list as & when required.

  • Booking of Multi-Occupancy Vehicle on a daily basis.

  • Winter Sit Rep Audit Reporting (Nov-March).

  • Have responsibility for ordering stock and equipment.

  • Arrange for all old documentation to go to Restore Archiving, keeping a database to show this.

  • Carry out all duties required which are consistent with the responsibilities of the grade.

  • Provide cover for a variety of roles within the team

  • Provide solutions to problems and queries as they arise, feedback to Hospital Coordinator as required.
