Job summary

We are looking for an enthusiastic; motivated individual to join our busy cardiology department. The role is interesting and challenging and you will need to be organised and have excellent communication skills. You should be computer literate (ECDL or equivalent) and have proven experience of hospital data systems. The role of this post is to provide comprehensive administrative and secretarial support to cardiac diagnostics; previous experience in a similar role is essential.

Main duties of the job

Day to day management of all Administration and secretarial duties within Cardiac diagnostics

To provide a comprehensive secretarial and administrative service to the department including scheduling of all appointments, waiting list management, day to day support to the clinical areas including first point of contact for patient advice and concerns.

Job description

Job responsibilities

1 Provide a comprehensive personal secretarial service to senior technical staff.

2 Accurate recording and forwarding of messages to the relevant members of technical staff.

3 Registration of new patients/creating MRN numbers

4 Responsible for booking of all clinical tests including exercise tests, ambulatory monitoring, Echocardiograms, Stress Echo etc.

5 Forwarding the appropriate appointment letters to patients.

6 Forwarding DNA letters to appropriate consultants. Re appoint when required.

7 Ensure incoming and outgoing mail is processed effectively.

8 Maintain the departments supply of forms/letters.

9 Keeping up to date with stationary requirements

10 Maintaining a filing system for test referral forms and letters

11 Use of departmental data collection systems to gain relevant information regarding test results and pacemaker/AICD implant information.

12 Cancelling and rescheduling of clinics at short notice

13 To input all the additional Outpatient tests onto ICS at the end of each day.

14 Provide Administration support for (remote ICD clinic), including management of clinic appointments and patient enquiries.

Qualifications and Education

Essential

  • NVQ level 3 or equivalent GCSE Maths/GCSE English or equivalent.

Desirable

  • ECDL or equivalent knowledge in MS word, excel and outlook.

Knowledge and Experience

Essential

  • Knowledge of hospital-based IT systems
  • Proven experience within the NHS
  • Demonstrates understanding of the principles of clinical governance e.g., risk management, audit and quality

Desirable

  • Medical secretary experience
  • Experience within the field of cardiology

  • Able to communicate with people at all levels
  • Ability to organise and manage own workload
