ADMINISTRATION SERVICE CO-ORDINATOR - PATIENT ACCESS

Community & Clinical Support Services Division

37.5 hours, Band 5 based at Ormskirk Hospital

The Administration Services Co-ordinator will manage administrative staff at Southport and Ormskirk Hospitals, inclusive of Team Leaders and Access Booking Officers.

The successful candidate will provide an efficient and effective service to the Trust and ensure robust plans are in place to develop and improve the administrative role in line with new practices.

This demanding role will require excellent time management and interpersonal skills. The successful candidate must be able to prioritise their own workload and that of others and will require a flexible approach to their duties. They must be able to communicate effectively with staff at all levels within the organisation and be responsible and have extensive experience in ensuring optimum use of physical capacity throughout administration teams to deliver service needs.

The post holder should have equivalent experience to degree level and two years previous experience in a supervisory role. The post holder should also be motivated and pro-active in their role and able to work flexibly across both sites. Willing to meet the performance criteria set out in the job description and undertake personal and professional development.

Main duties of the job

The Access Booking team provides an efficient, high-quality administrative service across multiple specialties, overseeing outpatient bookings, supporting performance management, and ensuring compliance with targets including the 18-week RTT pathway.

Key duties include managing diary coordination, appointment scheduling, correspondence, and document processing, prioritising tasks using judgement and specialty knowledge. The post holder will produce planning reports, monitor cross-cover, and adapt staffing to maintain service flow. Strong communication with consultants, managers, junior doctors, and patients is essential, often conveying sensitive information with clarity and empathy.

The role also involves policy compliance (e.g., e-referrals, inter-provider transfers), workforce supervision, performance reviews, and induction training. They will lead on new system implementation, oversee accurate record-keeping, support departmental audits, and contribute to service improvement initiatives. Financial responsibilities include managing staff timesheets, tracking resources, and supporting cost-improvement efforts.

Specialist Regional Services

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.
