Job summary

This exciting opportunity has arisen to work within the forward looking and enterprising Logistics/Transport team of an Acute Trust.You will be responsible for the delivery of goods to various locations of a busy acute hospital service and for ensuring the smooth running of the day-to-day Transport and Stores function.

We need an enthusiastic person with an understanding of Logistics. You will be able to communicate effectively with internal and external stakeholders and be able to assist the Logistics Manager as and when required.

Specific responsibilities include receiving and receipting of delivery notes onto the in-house computer system (SBS), delivering to Sterile services, medical records, Pharmacy and general distribution of goods and paperwork to agreed locations within the Trust in a timely and efficient manner.

You will need to be flexible and capable of working effectively within the busy environment of the Trust's Transport and Stores Teams.You will between Southport and Ormskirk District General Hospital sites which are eight miles apart.

Main duties of the job

To assist the Logistics Team Leader with the day to day running of the stores/Logistics department, and in addition be responsible for the items held within the stores, undertake stock control, order processing and distribution of goods and control the administration of both incoming and outgoing deliveries and maintain accurate records.

To maintain and update an accurate record of all deliveries received within the Trust showing when they were received and where they were delivered to which will be corroborated with a signed receipt.

To be responsible for receiving orders and electronically receipting onto the SBS system. Keeping and maintaining an electronic database of receipted goods within the Trust. This database will also be uitilised by the Finance department to assist with the smooth transition of payments to external suppliers.

To be flexible and capable of working effectively within the busy environment of the Trust's Logistics and Facilities Teams.

Assist with the deliveries and onward distribution of goods and paperwork to agreed locations within the Trust in a timely and efficient manner, report any obvious damage or discrepancy in accordance with the Trusts procedures.

KEY DUTIES

Responsible for the opening and closing of the stores department making sure it is locked and secure at the end of each shift.

Ensure that the stores area and loading bays are maintained in a clean and tidy condition and that access and walkways are kept free from obstruction in accordance with Health and Safety regulations.

Providing and receiving routine information which requires tact or persuasive skills. Dealing with a range of queries and actively resolving them in relation to deliveries from NHS Logistics and external suppliers across the Trust.

Regular Communication with managers and service users. Communicate with other members of the logistics team on both sites by using effective communication skills to influence, encourage and inform best work practice to achieve identified standard of work using verbal discussion, written and electronic communication.

To provide administrative service and support for Logistic and Portering Manager To be understanding of a range of work procedures and practices. Using analytical and judgmental skills which will involve a range of situations including transport staff rotation and allocation of routes. Making sure we are using the most cost effective and time efficient transport to avoid any unnecessary delays. Resolve problems with deliveries as appropriate.

When required ensure that all goods are receipted onto the appropriate system (SBS). Ensure that computer records are maintained accurately. This involves the receiving of goods within the stores area and being responsible to first check the contents are correct and that they mirror the items indicated on the purchase order and then receipt the order off on the SBS system. This is a role would normally be carried out within the finance department.

To be responsible for the scanning in of all signed delivery receipts, using Windows 10 and storing them in a shared folder which the finance team also have access to. Be responsible for alerting the finance team to any receipts that may require further clarification prior to being authorised for payment.

Maintain concise records, in conjunction with the logistics team leader. In the absence of the Logistics Team Leader to provide and manage an efficient transport service for the Trust considering department/user needs and appropriate legislative requirements.

Assist with the dissemination of information to staff, e.g. work instructions, team brief. Assist the Logistics Team Leader in the training of new staff. To be responsible for assisting the Team Leader in ensuring that local work instructions are adhered to when carrying out routes/tasks and that equipment and vehicles are used within the operating instructions to ensure compliance with safe working practices.

Assist with the stock management processes for goods held within the Store. Within their role the post holder will be required to move goods throughout the hospital site which may include cages, pallets and parcels. They will also be required to move items such as HSDU trolleys, patient beds and furniture. They will be required to exert moderate physical strength during the course of the working day. Also be required to drive several different type and size of vehicles.

Liaison and working with other colleagues within the Facilities and Commercial Services Department and other service users.

Liaison with Procurement and Finance staff over issues relating to payment for goods received from or returned to NHS Logistics and other suppliers.

To assist in the development of the logistical service provided to service users to maintain it to a high standard. To assist the Logistics Team Leader to ensure that the duty roster provides appropriate cover for service requirements and manage driver activity on a daily basis.

To comply with Manual Handling Regulations, COSHH Regulations and the Health and Safety policies laid out by the Trust.

Ensure that protective clothing, as provided by the Trust is worn as appropriate.

In the absence of the Team Leader provide an efficient transport service for the Trust considering department/user needs and appropriate legislative requirements in accordance with the Road Traffic Act. To ensure that all trust vehicles are checked daily and are road worthy in conjunction with the DVLA and Ministry of Transport (MOT) guidance.
