Job summary

An exciting opportunity has arisen within the Medical Care Group for a highly motivated and proactive individual in the role of PA to the Heads of Nursing & Quality/ quality team, Governance & Quality Facilitator/Office Manager.

The successful post holder will work very closely with the Head of Nursing and Quality and the wider Quality Team within the Care Group supporting the quality agenda which includes including patient safety, patient experience and clinical effectiveness. The role is integral to the governance agenda

You must have excellent organisational skills and possess strong communication skills, both written and verbal to enable you to undertake a wide range of managerial and administrative tasks as part of your role. You will be responsible for managing departmental employees.

You will be expected to prioritise your own workload and that of the Administrative Team in order to deliver an effective service. You will also be responsible for the day to day management of the Administrative Team and provide a Team Leader function as part of your daily duties.

We are looking for someone who can demonstrate a flexible approach to their duties whilst being able to adhere to strict deadlines.

Main duties of the job

To provide business and governance support to the Medical Care Group Management Team to ensure the objectives of the operational and governance agenda are achieved, including ensuring administration support is provided to prepare agendas, full range of papers and updating and developing follow up action plans/action logs as required and lead on any governance projects.

To work closely with and provide comprehensive administrative support and PA duties to to both Head of Nursing and all the quality team members, along with ensuring the smooth running of the administrative functions of the MCG office. The post holder will undertake a wide range of managerial and administrative tasks and will operate in a wide network of communications and must at all times promote sensitivity and tact to ensure the effective achievement of MCG objectives.

To assist in the management of the performance of governance and operational objectives including complaints, litigation, policies and procedures and operational protocols, risk management, patient safety including infection control, patient experience, clinical effectiveness and finance in line with Trust objectives.

To assist in planning and implementing specific projects and service redesign as required (e.g. external regulation and CQC inspection preparedness).

Administration

Organise, plan and prioritise own workload, ensuring deadlines are met.Provide support to ensure that both Heads of Nursing and Quality, Quality team members and departmental employees are in line with mandatory training and annual appraisals.

Provide a comprehensive administrative and PA support.

Manage a forward planning system to ensure that deadlines are met with other team members and colleagues in the Care Group and wider teams.

Make and receive phone calls, being flexible and using initiative and judgement when handling complex enquiries. Take action, proposing solutions and provide feedback as appropriate, ensuring that appropriate messages are relayed and/or that appropriate action is taken.

Provide drafts to correspondence, including email, ensuring that replies are provided within the agreed timescale.

Responsibility for maintaining and improving professional knowledge.

Work without direct supervision and be able to make decisions without reference with regard to the handling of sensitive/complex matters, using sound judgement to seek advice or alert senior staff to issues.
