Senior Administrator/Reception Lead Band 4
We require an experienced Senior Administrator to manage the Reception Service.
To manage the day to day running of the Reception Service. Line-manage the Reception Administrative staff, ensuring sufficient staff in place and all duties covered. Co-ordinate absence/study leave/annual leave in line with Trust Policies. Undertaking Supervisions and Appraisals. Maintain up to date confidential personal staff files.
To ensure Reception runs smoothly. Oversee/ monitor answering of incoming calls within time frame and assisting with calls during busy periods. Act as central point of contact for external and internal callers.
Ensure new starters receive Trust Induction and provide Local Induction to new starters.
Main duties of the job
Provide high quality, confidential and comprehensive senior administrative service to meet the needs of the service and to use own reason, initiative,intellect and judgement. Effective decision maker, able to prioritise own workload whilst responding to interruptions. Ensuring all deadlines are met.
Experience of managing Petty Cash process, refunds for expensesensuring documented as per process.
Responsible for ensuring Health Roster is always kept up to date, working with Team Managers.
Responsible for eProcurement supplies, ordering, tracking and receipting goods, following up delivery queries.
About us
Responsible for the Fire checks in line with Trust Policy.
Oversee the facilitation and administration of meetings/panels, including taking formal minutes including safeguarding.
Undertake word processing of all documents to a high standard. Utilise advanced level IT skills to create reports, spread sheets and presentations.
