Waltham Forest Talking Therapies is a very busy NHS Talking Therapies service for the residents of Waltham Forest.
We are looking for an organised and experienced administrator to join our team providing an excellent service to Waltham Forest's residents.
You will be encouraged to participate and share learning with colleagues across the team.
Administrators in Waltham Forest talking Therapies are the first step when clients make contact to access our service and therefore the first impression of the service.
Main duties of the job
- Act as a first point of assistance for both internal and external enquiries.
- Greet visitors to the office in a professional manner, ensuring that any issues are either responded to or passed to an appropriate person.
- Ensure telephones are answered promptly and within agreed KPIs; answering queries or putting callers through to the relevant member of the team.
- Managing difficult conversations over the phone in a professional manner, in keeping with the trust values.
- Take telephone messages; ensure they are documented and given to the appropriate member of the team immediately and check voicemail regularly throughout the day
- Book assessments for clients when referrals are received through the different routes which will include, telephone, online, email and post.
- Take and transcribe minutes of formal meetings to a high professional standard as requested by the Data/Administration Manager.
- Input, search, review and retrieve data on a variety of systems including RIO, PCMIS and Microsoft systems.

Starting with NELFTNELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.
High Cost Area Supplement - LondonThis post also attracts payment for High Cost Area Supplement of 15% of the basic salary (minimum payment of £4,313 and a maximum payment of £5,436 per annum pro rata).
