Job summary
The post holder will work closely with the multi-disciplinary team in the Gastroenterology (including Hepatology) department, including Consultants, nurses, etc. They will ensure all suitable patient information is captured, recorded accurately and submitted, in a timely way. The post holder is responsible for providing a high standard of professionalism in a patient focused service, to support activities related to patient pathways and to participate in general office duties, including covering administrative/clerical work when staff are on leave.
Main duties of the job
Responsibilities and key result areas to include:
Receiving, making and resolving telephone and emailing enquiries from patients and healthcare professionals, inside and outside the hospital. Passing on messages to the appropriate person.
o Retrieving patient records and ensuring that they are maintained and kept up to date, sorting and filing all results, reports and correspondence (in accordance with the Health Records Policy and procedures).
o Receiving and administering patient referrals in line with timings and requirements as set out in Trust and National policies.
o Adding details of referral letters to the outpatient waiting list and ensuring they are put through for vetting.
o Making appointments for patients on the main hospital computer system and booking transport for patients when needed.
o Arranging interpreters as required.
o Completing administrative processes around arriving, booking and outcoming patient appointments as required.
o Knowledge of administrative procedures and systems.
o Collating and mailing letters.
o Co-ordinating and providing administrative support to the relevant teams to ensure that all the relevant paperwork and clinical information is available.

- Good general standard of education to GCSE 'O' Level (Grade A-C) including English and Mathematics or equivalent Level 2 qualification(s)
- Educated to diploma level or equivalent level combination of NVQ 3 education, short courses and experience
- Previous administration/secretarial experience and a comprehensive experience of working in the NHS or other healthcare sector.
- Experience of working with the general public in a customer or patient-facing role
- Staff Supervision - day to day supervision.
- Experience in performing staff management duties, such as PDR
- Experience in running an office including managing, maintaining and developing databases and filing systems including maintaining stationery/stock levels and diary management
- Ability and confidence to work safely and effectively without direct supervision
- Experience of inputting to databases, spreadsheets and/or other IT Systems and business applications used in the office environment.
- Experience of using patient administration systems and other Radiology in-house systems i.e Soliton, IEP, Cerner and Microsoft Office suite
- Experience of dealing with enquiries from the public and partner organisations.
- Experience of prioritising workload to meet conflicting demands
