Job summary

The role of an administrator is to provide administrative support within Community Adult Therapy services including Physiotherapy, Nutrition and Dietetics. Speech and Language Therapy, Bone Health and Community Stroke Rehabilitation Team. The post holder will be the first point of contact for patients and clinicians and will be expected to work with some independence using own initiative with minimal direct supervision.

Location: Your normal place of work will be with the Community Therapies Services at St Michael's Primary Care Centre, Gater Drive, Enfield, EN2 0JB

However, you may be required to work at any other location of the Trusts interests, including travelling to appropriate meetings, outside of the borough.

Main duties of the job

1. To be able to work independently using own initiative, with minimal direct supervision .2. To be able to use own judgement in determining the urgency and priority of patient callsand pass these on to the appropriate team.3. To identify own training needs on a continual basis and participate in the KSF reviewprocess yearly.4. To carry out any other duties, with the scope of the post, which may be allocated from time to time

Job description

Job responsibilities

1. To take referrals and messages ensuring they are logged and passed on to theappropriate clinician in line with indicative urgency. To liaise with patients and theircarers, relatives, Social Services, members of the Primary Health Care Team and anyother agencies as appropriate, maintaining confidentiality and treating all situations withsensitivity and tact.2. To record referrals and retrieve patient information using the RIO Data Managementsystem. To report duplicates and highlight errors to team leader. To ensure clinic listsare fully booked.3. To administer appointments, receive patients and contribute sensitively towardsresolution of problems that may arise with patients or their carers.4. To disseminate other information to clinical teams and managers as requested.5. To organise referrals to other agencies under the direction of the senior clinician/adminteam leader and in line with department protocols.6. Produce regular statistical, performance information and to provide patient informationon an ad hoc basis for management as requested for audit etc7. Maintain monthly E Roster duties as requested by Line manager. Collate and returntravel claims and expenses as required by line manager.8. To ensure that the environment in which people are received promotes a high qualitypatient experience.9. To provide non-clinical advice to patients, carers and members of the publiceg: displaying patient information leaflets etc.10. To process deliveries and monitor invoices as directed.11. To be responsible for maintenance and archiving of patient records.12. To be responsible for ordering, maintaining stocks and stationery supplies as required.This includes ordering specialist equipment as directed.13. To type correspondence as required.14.To carry out general photocopying and scanning and retrieving patient records.15. To report and follow up maintenance problems with the appropriate department and toarrange for service and repairs of equipment.16. Receive and distribute incoming and outgoing mail and any correspondence, includingreferral & discharge information.17. Ensure the effective storage of information through the design, implementation andmaintenance of an efficient filing or IT system, which complies with Trust policies on recordkeeping.18. Attend team and other meetings as required

Education and qualifications

Essential

  • Able to produce evidence of a good basic education including numeracy and literacy skills.
  • NVQ3 in secretarial or office administration or skills gained by equivalent experience or show a willingness to work towards this qualification or RSA3 or skills gained by equivalent experience.

  • Excellent communication skills both face to face and via telephone.
  • Keyboard /Computer skills using Word/ Excel. Ability to learn new software programmes. Data inputting skills
