This is an exciting time to be working at the Royal Free London NHS Foundation one of the biggest NHS Trusts in the UK, delivering care to more than 1.6 million people a year through our three main hospitals: Barnet, Chase Farm and Royal Free.
The post holder will provide administrative support to the Liver and Digestive Health division, focusing specifically on internal processes, e.g organising and administering meetings, diary management and service administration. In addition, the post holder will be responsible for supporting recruitment processes, including setting up interview panels.
Main duties of the job
- Understand the standing operating procedures for divisional administration

General administrative duties such as photocopying and distribution of mail

Manage priorities effectively and successfully and be able to cope with frequent interruptions

Ensure all written or verbal enquires from relevant management teams and external agencies are received and responded to in a courteous and diplomatic manner.

Support the team in answering telephone calls and dealing with enquiries in a helpful and courteous manger using initiative and discretion or directing the call to the appropriate staff member.

Examine all incoming mail, (both paper and electronic) as appropriate and action as required. this will include drafting responses, personally collating information required or contacting relevant people to ensure the task is completed with a timely manner.

Deal with all information in a sensitive and confidential manner, protecting the security of information where appropriate both internally and externally.

Provide reasonable cross-cover for other divisional admin PAs to ensure a consistent and effective administration service is maintained at all times.

Deal with concerns/complaints as appropriate, immediately escalating where necessary to the appropriate manager for prompt action.
