Job summary

This is an exciting time to be working at the Royal Free London NHS Foundation Trust, one of the biggest NHS Trusts in the UK, delivering care to more than 1.6 million people a year through our three main hospitals: Barnet, Chase Farm and Royal Free. Please note this post will be based at Enfield Civic Centre as part of our centralised Outpatients Appointment Centre.

We are looking for a part-time Template Coordinator to join our Template Management team who will be responsible for the management of specialty clinic Template builds following the Trust policy and targets.

The successful candidate will also support other members of the OAC to promote good practice and to support in the delivery of training and awareness programmes.The successful candidate will be required to be able to demonstrate previous template build experience within Cerner Back Office, have full working knowledge of e-RS booking system, EPR and demonstrate the Trust values, and meet the responsibilities of the job description and person specification. this position will involve a templates test to establish the level of experience in this field. Working for the Outpatients Appointment Centre (OAC) within the Template Management team. Your main duties will be as below:

  • Communicating with specialty services daily, this will include: Admin, Service Managers and Operation Managers.
  • Working alongside the CRS team and other departments within the OAC.
  • Building clinic templates within Cerner Back Office
  • Linking templates
  • Maintaining the clinic template bank holidays, resource and slot groups.
  • Creating clinic Book Shelves
  • Rebooking patients
  • Contacting patients via telephone and text
  • Have the ability to be resilient

Job responsibilities

To provide support to all Trust staff covering the existing patients Administration (PAS) using Cerner Back Office system.

The post holder requires a good understanding and knowledge of the process for building templates clinics, following the Trusts naming conventions (Appointment Types, Locations, Resources, linked to the Trusts code charges).

The post holder requires knowledge building clinics in Patient Administration System (PAS) and linking Resource names, Locations to the appointment(s).

The post holder will be able to add or remove clinic letter preps, request lists and treatment function of the appointment type.

The post holder is required to have knowledge of the Electronic Referrals System (e-RS).

To provide patient-focused rescheduling from one template to another using the appropriate Trusts booking system and the national e-Referrals system.

The post holder is required to have knowledge of the Cerner bookings process and national policy in place for target, routine and Follow up patients using appropriate Trust systems with rescheduling and cancelling of patient requests such as PAS and ERS.

The post holder will be communicating with all associated contacts from the request, such as Service Managers, Operation Managers, Administrators and Clinicians.

The post holder will be expected to manage Template requests following the Trust policy and targets.

The post holder is required to manage Cerner Back Office application.

They will have a broad range of responsibilities for ensuring that the templates have been built, linked and applied correctly on Cerner to ensure the Trusts clinic schedules are visible and can be used by all service administrators.

The post holder is required to maintain bank holidays, resource and slot groups.

The post holder needs to be able to create, understand and maintain the Clinic Book Shelves.
