Job summary

Work as part of the Neuroendocrine Tumours team to ensure that all administrative functions for patients attending for Peptide Receptor Radionuclide Therapy (PRRT) are coordinated in line with the specific care pathway instructions to facilitate the smooth running of the patients' journey. Where a patient has multiple specialist needs, assist the patient in coordinating their pathways to ensure that all pre-treatment requirements are dealt with prior to treatment and that any follow up actions post-treatment are followed through.

Main duties of the job

We are looking for a part time Band 4 Administrator to support the PRRT service within the Neuroendocrine Tumors (NET) department at the Royal Free Hospital. We are advertising for 30 hours per week

The neuroendocrine tumour unit at the Royal Free Hospital has an international reputation for the management of neuroendocrine tumour patients. In 2010 it was the first UK centre to be awarded European Centre of Excellence. It currently receives 30-35 new referrals per month (360 - 420 per year) and has an active patient cohort of over 1,600 patients. We receive referrals from across the UK as well as from abroad, and we are the designated centre for NETs within the North London Cancer Network.

We are looking for an experienced and motivated individual who has excellent communication, organisation and interpersonal skills.

2. PRRT PATIENT PATHWAY PLANNING2.1 Manage PRRT referrals received by the specialty by working closely with clinicians and NET CNS to ensure that patients are placed on the correct clinical pathway.2.2 Liaising with patients both prior to and post their treatment to ensure that they are aware of the logistics of what PRRT treatment involves2.3 Ensure that simple tests or pre-investigations, including blood tests and Covid swabs, baseline crossectional imaging, echocardiograms have been ordered and arranged where necessary.2.4 Ensure effective communication channels are in place and that key stakeholders including patients, families and carers are informed of the communication details and hours of work.2.5 Arrange transport (in line with trust procedure) and translation services where necessary.2.6 Coordinate hotel bookings for patients where necessary.2.7 Identify and seek to resolve bottlenecks or delays in the patients pathways, escalating issues where necessary to the clinical pathway manager. Ensure that all patient administration is carried out in line with Trust policies and procedures.2.8 Coordinate appropriate appointments for patients in partnership with the OAC (including rescheduling and booking follow- up appointments), Nuclear Medicine and the ward staff, as directed by the clinicians in line with the clinical pathway.2.9 Monitor clinic lists and MDT outcomes to assess workflow and escalate any issues where necessary.2.10 Ensure the patient understands their care pathway and is aware of appointments and any changes.2.11 Monitor investigations and tests to ensure they have been completed and results/reports are available prior to appointments and consultations with the clinical team. Chase up any outstanding blood results, scans and investigations from external organisations where these have been conducted locally2.12 Ensure all appointments are compliant with the Trust Access Policy and national targets. Where appointments are cancelled these should be rebooked within the appropriate time frame.2.13 Ensure PRRT data is appropriately annotated and stored according to Trust protocols2.14 Achieve Good Clinical Practice (GCP) training and certification2.15 Assist in phlebotomy and delivering of research material to BioBank as needed.3. RESPOSIBILITY FOR INFORMATION AND RESOURCES3.1 Notify relevant departments and Medical Records when informed of the death of a patient and cancel future appointments to prevent further distress for families.3.2 Ensure a high standard of data quality is maintained, arranging audit support and data validation where appropriate. This may include the coding of outpatient procedures as required.3.3 Support the team as required with updating data on relevant shared drives and departmental databases.
