Job summary

  • The post holder will be communicating with all associated contacts from the request, such as Service Managers, Operation Managers, Administrators and Clinicians
  • Ensuring all Urgent and Routine referrals are accurately logged and registered on PAS system.
  • Using own initiative to regularly monitor and review future clinics to ensure that they are booked correctly, and all unutilized slots are filled.
  • Contacting patients to offer appointments, dealing with patients in a professional manner and ensuring patient confidentiality is maintained at all times.
  • Relaying sensitive information to patients and carers in relation to waiting times for appointments, dealing with aggressive and antagonistic patients in a calm and tactful manner.
  • Book appointments using the PAS/NHS e-referral system and identify the type of outpatient appointment required. Obtain relevant reports/ information and request HRS/case notes. Update clinic of list changes due to cancellations/alterations. Frequently negotiate with Cardiology staff to provide additional outpatient clinics.
  • To ensure management of all clinic requests/reductions/cancellations/clinic changes/patient requests are managed within Cerner independently.

Main duties of the job

To ensure a high standard of secretarial and administrative service is consistently delivered by undertakingrequired tasks and activities on a daily basis, using the ability to work flexibly and use initiativeo To utilise the required technology/hospital systems including Cerner/Luna/Microsoft/CPACS/Sentinel/Pacenet and any other new technology or system(s) that are introduced and support other team members to deliver an efficient administrative service.o To recommend and support the implementation of service improvements to own and team working practice to improve workflow.o To train and develop other team members to ensure competencies are developed, sustained and updated and to deliver the required administrative and secretarial service in a changing working environment.o To recommend and support the implementation of service improvements to own and team working practice to improve workflow.o You will be working with a wide range of people and communicating with both patients and staff, so effective interpersonal skills are essential.o You must work well as part of a team, whilst also having the ability to use your own initiative and work well under pressure.
