Personal Assistant

Job summary

The post holder will provide a comprehensive, effective, and efficient Personal Assistant service to the CSPL.

This role involves managing a wide range of administrative and organisational tasks, including full inbox and diary management, minute taking, maintenance of action trackers, and coordination of reports.

The post holder will also support the delivery of audits, failsafe cancer tracking, and process-orientated presentations, as well as handling correspondence. In addition, the role includes supporting the CSPL with the administration of projects and other agreed tasks to ensure the smooth and effective running of the service.

Main duties of the job

Liaise with Cytology and Pathology departments as required.

Use DATIX and, when necessary, complete SIAF investigations on behalf of the CSPL.

Maintain accurate databases and ensure effective workflow management.

Coordinate CSPL-led meetings by,Sending diary invitations. Attending meetings.Taking and disseminating minutes.Booking meeting rooms and providing administrative support.

Meet regularly with the CSPL (currently based at Basildon) and accompany them to other sites (Broomfield and Southend) when required.Support hybrid working arrangements (available once fully trained), with flexibility to work across sites.

Please note: a permanent desk space may not always be available, and desk-hopping should be expected. Work in a highly process-driven environment, ensuring accuracy, consistency, and reliability in all tasks. Automation and failsafe working practices are expected.

  • Foundation degree or NVQ Level 4
  • Relevant experience / vocational qualification

Desirable

  • Pitman or RSA typing up to Level III or equivalent

Knowledge and Experience

Essential

  • Demonstrable secretarial experience working at director level.
  • Excellent knowledge of all Microsoft Office applications
  • Demonstrable understanding of confidentiality management
  • Demonstrable experience of using electronic environment for audit trail management.
  • Experience of taking minutes at formal meetings.
  • Experience in planning and prioritising tasks effectively
