Job summary
We are looking for a motivated individual with excellent communication, interpersonal and organisational skills who is dedicated to working as part of our friendly team.
You will work as part of the wider E&F team, however you must also demonstrate the ability to use their own initiative.
The role will primarily involve providing cover for the MSE Estates and Facilities Helpdesk. This involves logging all planned and reactive jobs requests received via telephone calls, web-based enquiries, emails, mobile applications and directly from staff members across the entire Trust. The individual will be expected to enter call information onto the CAFM database ensuring that they are correctly scheduled or allocated to comply with the Trust's SLAs for works.
The help desk handles calls from both hard and soft services within the Trust and the individual will be capable of interfacing with all members of staff regardless of position to ensure requests are correctly inputted and allocated to the correct individuals to undertake the works.
You will allocate work requests and issue planned maintenance (PPM) tasks to the appropriate teams using the CAFM work planner. They shall also track progress and chase all requests against the predetermined SLA's
Main duties of the job
Helpdesk related tasks.
General administration duties.Filing.Preparing minutes for meetings.Using CAFM software to compile reports relating to key performance indicators (KPI's).
Manage EFM contract inboxBook and monitor all training for the Estates (Maintenance) department.Oversee all permits to work, contractors and inductions.Authorise invoices on E-Financial.Log all works (Contract/stores) on E Financial.Ensure department stationary is kept replenished.Attend and record minutes of management meetings as required. Provide minutes etc to relevant parties within 72 hours.
