Job summary

He is am exciting opportunity for you join our pathology team as a Administrative Assistant.

You will provide a reception service to all visitors to Haematology Day Therapy Unit. You will undertake various clerical duties in connection with the custody and use of Health Records. This includes all administrative procedures and documentation associated with admission and discharge of patients.

The PPA will work as an integral member of the Haematology Day Therapy Unit team, providing administrative and clerical support to the Nursing staff. The job description is not exhaustive and requires the post holder to be flexible to meet the needs of the developing service.

Main duties of the job

  • To support the nursing and medical team within Haematology Day Therapy Unit.
  • To work in the reception area of the Haematology Day Therapy Unit, meeting and greeting patients, visitors and healthcare staff, checking identification of staff requiring access to patient information.
  • To have an up-to-date knowledge of the departmental services and their protocols/templates to ensure that patient appointments are booked appropriately.
  • To make follow up appointments utilising EPR, ChemoCare, Acute Care Portal (ACP) and Patient Transport Service (PTS) and to ensure patients are seen when required.
  • Assist in the timely organization of TCI patients, ensuring relevant case-notes are available
  • To undertake all routine clerical duties required such as photocopying, filing, typing and minutes of ward meetings, as well as assist the Ward Manager in administrative tasks as is required
  • Organise transport for patients if required.
  • Receive enquiries, by telephone or in person, and take appropriate action or escalate as necessary. This includes phone calls from the pathology laboratory about patient's blood test results and escalate to the nursing and medical staff.
  • Keep the patient administration system up-to-date.
  • Highlight problems and make managers aware of any difficult or sensitive issues.

  • Assist in the provision of a comprehensive typing within the Haematology Day Therapy Unit including typing clinical and general correspondence and opening mails.
  • Filing letters and reports into patient medical notes.
  • Prioritise workload in conjunction with the team and line manager.
  • Provide cover for absent colleagues within the secretariat during annual leave and unplanned absences if the need arises.
  • Contribute to a healthy and safe working environment by adhering to health and safety regulations and Trust policies.
  • Ensure any equipment found to be faulty/unsafe to be removed from use and reported to the appropriate authorit
  • Scan and upload appropriate correspondence to the Trusts electronic systems.
  • To prepare notes for clinics / attendances ensuring patient confidentiality at all times. Request old notes as needed.
  • To sensitively explain to patients where their appointments have been cancelled or changed and ensure a new appointment is negotiated, as required.
  • To deal with patients complaints concerning appointments, details/cancellations referring exceptionally angry/distressed patients on to the Unit Manager when necessary.
  • To undertake a range of administrative duties to complement booking work and/or provide cover for absent colleagues as required helping to maintain the smooth running of the Team.
