We are seeking an enthusiastic and motivated individual to join our small administrative team at Bradford Teaching Hospitals NHS Foundation Trust. The successful candidate will play a vital role in supporting the efficient operation of our clinics by managing room utilisation across all Trust sites and Phlebotomy appointment bookings for adults and children.
This role requires excellent communication, organisational, and multitasking skills, with the ability to prioritise tasks and work effectively under pressure. IT skills are essential, and the ideal candidate will have experience with various software systems and a willingness to develop their knowledge of the NHS and its administrative processes.

Main duties of the job
- Provide comprehensive administrative support to the Outpatient/Phlebotomy Admin Team to ensure smooth daily operations.
- Handle telephone and email enquiries professionally, managing appointment bookings, room requests, and administrative queries accurately.
- Contribute to developing efficient, lean processes to improve service delivery.
- Manage room bookings from various specialties via email and systems such as Bookwise and Open Space, maximising room utilisation and reducing DNAs.
- Book, cancel, and reschedule blood test appointments; prepare appointment lists and blood requisition forms for the next day.
- Perform data entry tasks, reviewing outpatient room utilisation data, following up on DNAs and unused clinics, and recording DNAs in relevant systems.
- Chase outstanding blood forms with secretaries and support clinic preparation.
- Deal with enquiries courteously and professionally, providing advice or relaying messages as needed.
- Use local databases and IT systems across multiple platforms, ensuring accuracy and escalating concerns promptly.
- Cover the phlebotomy reception desk across sites, checking patients in and completing data entry tasks.
- Support continuous improvement initiatives and adapt to changing service needs.
- Perform any other duties appropriate to the role.
