An exciting opportunity has arisen for a motivated and enthusiastic individual to join the Safeguarding Children Team in the role of Safeguarding Children Team Administrator.

For this role you will work within the Safeguarding Children team supporting the Named Doctors, Nurse & Midwife for Safeguarding as well as the Safeguarding Specialist Nurse Practitioners and Specialist Midwives. You will be responsible for administrative tasks related to the safeguarding children and midwifery teams, including diary management, meeting organisation, data collection and presentation and minute taking. The post holder will be expected to cross cover colleagues in times of annual leave and sickness.

A high level of administrative and IT experience and real understanding of confidentiality is required. You will be exposed to some difficult and emotionally sensitive information, so you will need resilience for this. You need to demonstrate highly effective written and verbal communication and interpersonal skills. You will need the ability to work with staff at all levels. You will have enthusiasm, motivation, demonstrate pride and real attention to detail in your work.

Main duties of the job

  • Administrative tasks, including answering the main office phone and directing calls as appropriate, managing the safeguarding children email inbox and directing emails appropriately, autonomously managing those calls and emails falling within your scope of practice.
  • Booking rooms for meetings and training, minute taking, editing training packages using a variety of media.
  • Stock control and ordering.
  • Managing data and presenting this appropriately, supporting audits for the clinicians.
  • Newsletter creation.
  • Managing Intranet content.
  • Formatting documents and creating templates.
  • Ensuring the addition and removal of warning flags to electronic patient records
  • Creating excel documents for clinicians to work from to screen attendances at the hospital.
  • Supporting events and welcoming staff to the events.
  • Being a full and active member of the safeguarding children's team.
