The post holder will provide support to individual teams within the Education service (including but not limited to, the Postgraduate Medical Education, Undergraduate Medical Education, Mandatory Training and the Clinical Skills Team) whilst working towards achieving a Level 2 or Level 3 Diploma in Business Administration. During the apprenticeship the post holder will undertake work-based assessments, complete coursework relating to the apprenticeship standard, and present evidence portfolios for assessment within specified timeframes (18 months) for apprenticeship accreditation.

The post holder will develop skills and knowledge to support the service provision of Education within BTHFT.

Main duties of the job

The Apprentice Education Administrator will work with a team of Educators and Administrators to support the day-to-day delivery of educational activity. The post holder will be supported with on-the-job learning to achieve their apprenticeship within the specified time frame set.

The post holder will liaise effectively with members of the multi-professional team throughout the organisation as well as external parties that support the delivery of educational activity. They will be able to work flexibly according to the demands of the service.

  • New to the NHS: If you are joining the NHS for the first time, you will be paid at the Apprentice Rate, which is currently £7.55 per hour (from April 2025) for the first year of your apprenticeship. After the first year, you will be paid the age-related National Minimum Wage for the remainder of your fixed-term contra

  • Existing NHS Employees: If you already have NHS experience, your pay will be determined in accordance with Annex 21 of the Agenda for Change Terms and Conditions. This means you will receive a percentage of the relevant pay band for the role, reflective of your current qualifications and experience.

Ensure confidentiality is maintained at all times, only releasing confidential information during the course of employment to those acting in an official capacity and where appropriate.

General administrative duties including preparation of correspondence, word processing, opening and distribution of mail and dealing with telephone queries.

Reception duties, including answering telephone calls in a polite and professional manner, taking and relaying accurate messages where appropriate.

Greet visitors/customers in a polite and professional manner, dealing with their enquiries in an efficient and timely manner.

To carry out general office duties such as data entry, photocopying, laminating, scanning and shredding.

To support the individual teams within the Education department to maintain accurate, timely and legible records.

To attend and take part in team meetings and regular reviews with line manager.

Arrange general meetings and make room bookings as and when required.

Deal with incoming/outgoing mail/email for the individual teams within the Education department.

Be able to input/extract data using relevant electronic software e.g. excel database.

Book training or meeting rooms on the request of Trust staff via the Room Booking Inbox.

To perform regular room checks throughout the Education department to ensure all rooms are clean and tidy and equipment is fully functioning (reporting any faults through the appropriate channels)

To set up teaching rooms with relevant equipment/consumables in advance of training events (on the job training will be provided for this).

Contribute to improvements in the Education service.

To effectively work as part of a team to ensure the successful efficient running of the Education department.

Any other duties appropriate to the banding of the post as per service requirements and the request of management.
