Job summary

A rare and exciting opportunity has arisen for a highly motivated and experienced Administrative Coordinator to join our Children's Community Service.

We are looking for a friendly and enthusiastic administrator with high level organisational skills and an aptitude to learn quickly to provide administrative support to the service and leadership to the junior admin teams.

This is a busy and varied role, one which requires the post holder to have a flexible approach and a calm, professional manner. The ability to work accurately whilst multi-tasking is essential. The successful candidate will be enthusiastic and have exceptional written and verbal communication skills. The role will involve clerical tasks including ordering, rostering, arranging appointments, minute taking, organising correspondence, data input on various systems, filing, and photocopying. Additionally you will be responsible for general office duties including answering the phone, typing, welcoming patients and directing members of the public and staff queries appropriately.

Main duties of the job

The post holder will be responsible for the effective provision of clerical/secretarial/administrative service's support to the Children's Community Nursing/Continuing Care team which will include health care support workers. With support and guidance act as a point of contact and be responsible for carrying out admin tasks and support of our admin team and dissemination of information, messages and enquiries.

The post holder will competently deal with general telephone calls and enquiries from patients, the public, staff, and other Health Care Providers, ensuring that they are dealt with accurately, in a timely, polite and courteous manner.

This will include recording of activity on the Electronic Patient Record (EPR) and SystmOne.

The post holder will be responsible for provision of a wide range of secretarial and administrative duties, including ordering, rostering, setting up and maintaining data bases, minute taking, supporting and administering audit requirements, word processing of clinical outcome reports etc. generated from the clinical nurse specialists and any other correspondence as required. They will be competent in accessing and utilising electronic patient information systems and act as a point of contact and be responsible for the reporting / feedback of information, messages and enquiries for the CNS team, liaising with multi-disciplinary team members, other health professionals and staff within the Trust, and with patients and families as required.
