Admin & Waiting list Co-Ordinator

Job summary

We are seeking to recruit an admin and waiting list co-ordinator based within the Dermatology team, to provide comprehensive and high quality administrative and clerical support to the department, ensuring an effective and efficient service is delivered within our cancer and surgery waiting list.

To ensure that patients are treated with courtesy, dignity and respect.

You will be responsible for a wide range of administrative duties including supporting our clinicians, doctors, nurses and admin team.

Main duties of the job

This role will be based within the Winnicott centre with duties carried out within that area. In order to develop professionally and to provide continuity of cover, it is also expected that the Dermatology admin and waiting list co-ordinator will be able to work and cover other admin duties within the admin team.

To ensure all USC proformas and minor op forms are reviewed, printed and prioritised based on lesion urgency and risk and directed to relevant clinics.

To ensure that all information is entered in a timely and accurate manner

If referrals are not managed electronically to ensure that referrals are entered onto the Patient Information Management System (PAS)

To manage ERS lists daily and escalate capacity issues to Co-ordinator.

To ensure staff are aware of current waiting list times.

To monitor waiting list and PTL information, initiating appropriate action to address problem areas to ensure that patients do not breach the Referral to Treatment (RTT) and Faster Diagnosis Standard (FDS)targets.

Ensuring clinics are fully booked maintaining the correct procedure times.

To ensure that staff have clear understanding of all procedures that effect waiting list management and advise any changes.

To ensure that new and follow-up patients awaiting a Minor Op appointment are partially booked in accordance with specific clinical booking rules and that patients are given sufficient notification of appointments.

About us

The Dermatology Department consists of Dermatology Consultants, Specialist Doctors and Nurses, Secretaries, Reception / Secretarial Assistants, a Practice Manager and a Team Leader. The team are based in the Winnicott Centre on the Annexe site.
