Job summary

We are seeking to appoint a Medications Unit Administrator.

The Medications Unit Service is based within the Rheumatology department and the successful candidate will support the efficient and safe delivery of the Medications Unit Service for patients within the Rheumatology service and other specialties across Torbay and South Devon NHS Foundation Trust .

There are no budgetary or staff responsibilities for this post

Main duties of the job

  • To support the day to day administration of the Medications Unit Service.
  • To facilitate patient pathways by coordinating, booking and proactively tracking the timeliness of patient's treatments and appointments for patients requiring medication therapies.
  • Close and effective liaison with different departments and neighbouring Trusts is an essential aspect of this role.
  • Excellent organisational communication skills together with high levels of accuracy and attention to detail are therefore a key requirement for this post.

The Rheumatology Team is based at Kitson Hall, Torbay Hospital. It is a multidisciplinary team, working closely together, committed to providing excellent services for our patients.

Job responsibilities

  • Actively track all patients receiving medication treatments, to ensure all appointments and infusions are delivered in accordance with NICE guidance
  • Maintain PTL databases and/or other data collection systems. Assisting in capturing data on all patients within the service and provide reports as required
  • Liaise with appropriate clinical teams and support staff to identify any patients outside of the establishes protocol
  • Participate in the development and maintenance of databases to capture patient information and reports as required
  • Provide detailed analysis reports to lead clinician and operational/practice manager for any patients with waiting times outside of the national standards
  • To actively book all follow up appointments and infusion treatments by liaising with the MDT

Essential

  • GCSE English & Maths grade C or above

Desirable

  • NVQ 3 qualification in relevant subject or equivalent level experience

Knowledge and Experience

  • Evidence of good communications skills with colleagues at all levels
  • Good working knowledge of Microsoft Office
  • Planning and organisational skills, including excellent time management
  • Attention to detail and high levels of accuracy
  • Sound understanding and observance of the principles of good data management, including legal responsibilities for data protection

Desirable

  • Knowledge and experience of the Trust patient administrative and information systems
  • Proficient in the use of internet and email
  • NHS experience
  • Good understanding of medical terminology
