Job summary

We are seeking to appoint a part time Administrator (31 hours per week) to work as a member of the Admin team providing a quality clerical service to all users.

To work as a member of the Moor to Sea admin and clerical team (Totnes Hospital, Ashburton HWB and Dartmouth HWB, providing a quality reception, ward clerk and clerical service. The post holder will be based at Totnes Hospital.

The post holder is responsible for their own workload, undertaking reception, administrative and clerical tasks associated with the smooth running of all departments.

These will include telephone and personal contact with patients, families, carers and professionals involved in the patients' journey.

Main duties of the job

  • Undertake Ward Clerk and Reception duties
  • Communicate with a wide range of clients on day to day matters, in person, by telephone and electronically.
  • Assist as far as possible with non-medical enquiries within the remit of the role, ensuring all non-routine and medical enquiries are referred to the appropriate person.
  • Admit/discharge patients using the hospital systems
  • Book in for MIU, Out-patients and Imaging appointments
  • Request and tracer notes as appropriate
  • Distribute and re-direct mail.
  • Assess and prioritise verbal, electronic and written information.
  • Work independently and as part of a team, providing an efficient clerical service, which includes maintaining stock levels of general and clinical supplies, using the Agresso system
  • To ensure that all correspondence is typed accurately and timely.
  • To ensure that the telephone is answered within a reasonable time as per current policy
  • To assist/liaise with other admin team members as appropriate.
  • To undertake Mandatory and other training as required.
  • Reporting of faults to Team Manager or Estates Department
  • Comply with Health & Safety policy and procedures and report any potential risk to the Business Manager or Matron
  • To provide support to clients and help them in distressing situation, when they present at Reception
  • To provide cover for Admin Staff within the Moor to Sea Locality (Ashburton/Totnes & Dartmouth)

Required to work over a 7 day 8am - 6pm working week inc Bank Holidays

Qualifications and Experience

Essential

  • oComputer literate
  • oGood standard of general education to include GCSE in Maths and English or equivalent
  • oTyping RSA 1 & 2 or equivalent
  • oExperience of secretarial/administrative duties
  • oKnowledge of Microsoft Office software
  • oAble to communicate effectively with patients, all grades of staff and external contacts, both verbally and in writing
  • oPrevious experience working within NHS or similar
  • oAbility to use medical terminology appropriately

Desirable

  • NVQ 2 Business Administration
  • oKnowledge of Trust Patient Administrative & Information Systems
  • oUnderstanding of Trust's Policies
  • oKnowledge of a range of computer software packages eg Choose & Book, Oracle, Infoflex
