Patient Access Centre Coordinator
37.5 hours per week, Monday - Friday, 08:30 - 16:30/17:00 (variable)
An opportunity has arisen for an enthusiastic and highly motivated person to join the Patient Access Centre (PAC) as a Coordinator, based at Torbay Hospital.
As a PAC Coordinator you will provide support and leadership to the Medical Booking Team and to the wider teams within the Patient Access Centre.The ideal candidate will be proactive with excellent organisational skills and the ability to respond to regularly changing priorities. You will be able to work well under pressure and to work independently as required, managing your own workload while ensuring the administration teams are supported to effectively achieve their expected duties and targets.
You will come under the direct supervision of the Patient Access Manager, alongside two other PAC Coordinators to provide support in all aspects of the daily running of the PAC.
Main duties of the job
- To provide direct line management of assigned PAC Supervisors, including absence management, performance management, appraisals, development and training. To support with the line management of Booking Clerk/Receptionist staff as required
- To ensure that the booking teams, within their remit, are working in accordance with Local and Trust policies, Local Standard Operating Procedure (SOPs) and guidance
- To ensure SOPs are updated and disseminated regularly to PAC staff and to ensure they are followed
- To ensure call volume targets are met in line with Trust Key Performance Indicators (KPIs) and to escalate any areas of concern to the Patient Access Manager
- To continually assess and identify areas for service improvement and develop and implement new procedures as required
- To support the Patient Access Manager with tasks relating to the management of the PAC as required, including cover of tasks during absence
- To develop and maintain working relationships with key stakeholders
- To liaise with specialty Practice Managers and Senior Management regarding any identified areas of concern regarding clinic capacity to ensure it is sufficient to meet national booking targets and maintain patient safety
- To attend Referral to Treatment (RTT) meetings weekly in order to effectively support with the management of patient pathways and to initiate appropriate action to address problem areas to ensure patients to not breach the national RTT targets
About us
The Patient Access Centre is made up of 7 teams that book 95% of the Outpatient Appointments for the Acute and Community settings within Torbay and South Devon Healthcare Foundation Trust.
The teams are comprised of Booking Clerk Supervisors, Booking Clerks and Receptionists, with each team having between 6-13 team members and mainly work out of a centralised booking office based at Torbay Hospital.
The department handles approximately 500,000 calls a year and books approximately 500,000 appointments a year.
