Site Support Services Administrator - Level 4 Main Entrance

Job summary

The post holder is responsible for supporting the smooth efficient running of level 4 main entrance patient enquires face to face contact/phone line and hospital at day admin function.

The post holder will be based at Level 4 Torbay Hospital main reception dealing with visitors, patients and relatives to the Trust who may require information and directions to areas of the Hospital.

This will be face to face and via the patient enquiry telephone line.

Also cover the hospital at Day admin function - taking calls from ward staff requesting clinical jobs to be completed via OOH team including Doctors and Doctors assistants. (e.g. Medical review, Medication request, Bloods, ECG etc)

The role covers 365 days per year including Bank Holidays and Christmas / New Year period.

All team members are expected to work on a rotational basis to cover Bank Holidays.

This support shift is to work every Saturday & Sunday 9.00-13.00.

Main duties of the job

  • To support our patients/visiting public and staff during their visit to the hospital. This can include signposting them to the relevant location
  • To provide a high-quality customer service face to face and via the telephone
  • Contributing to team discussions in a constructive and flexible way
  • To work as part of the wider Site support services team demonstrating effective communication, and working collaboratively with colleagues in all areas of the Trust
  • Handling inbound calls to patient enquires line and Hospital at Day in an efficient and empathic way
  • To ensure that all requested tasks and information shared by ward staff for hospital at day are clearly documented on the system (Info flex system)
  • Provide concise, accurate and legible data/records, maintaining confidentiality at all times
  • To contribute to the delivery of high standards of patient care. This includes ensuring that tasks are signed off when completed by Doctors or Doctors Assistants
  • To act with professionalism and integrity, being a role model to those around us and ensuring everyone has an equal opportunity

Our admin team form part of Trust wide site support services, including Phlebotomy and Doctor Assistants.

We are a well-established acute Trust with a track record of high performance and provide a broad range of services for the population of Torbay and South Devon.

We aim to make a positive difference to our patient's/visitors' experience. Supported by a team lead and the Trust wide ISU leadership team.

This role is based on the Acute hospital site.

Post holders must be able to work independently and demonstrate excellent prioritisation and time management skills and will also have the ability to cope with any potential challenging situations.
