Job summary
We are seeking an organised, motivated, and patient-focused Colposcopy Clerical Officer to join our busy Colposcopy Department within the Department of Gynaecology at St Michael's Hospital. You will play a key role in ensuring the smooth running of the service by providing high-quality administrative and clerical support to the Colposcopy Outpatient Clinic Co-ordinator, Clinicians, Nursing Practitioners and patients.
This is a vital position within a sensitive and fast-paced clinical environment, requiring professionalism, accuracy, and excellent communication skills.
Main duties of the job
The post holder will be part of a team providing administrative support to the Colposcopy Service within the Gynaecology Department at St Michael's Hospital and will undertake a variety of tasks to deliver a quality service to patients.
Work demands can change daily; therefore there will an expectation to prioritise work accordingly. The post holder will need to be flexible to meet the duties and responsibilities of their role.

Job responsibilities
- Maintain Colposcopy database for all Colposcopy referrals.
- Manage all Colposcopy appointments ensuring all referrals are dealt with in accordance to their clinical need and patients are discharged appropriately on Careflow due to RTT protocol.
- Fully document all referrals into the department.
- Prepare case notes/EVOLVE folders ready for Clinic appointments.
- Deal with all enquiries regarding Colposcopy appointments from patients, GPs, hospital medical staff and secretaries.
- Notify patients of appointments and cancellations either by letter or telephone.
- Work closely with the Colposcopy Clinic Co-coordinator in managing daily tasks. Ensure colposcopy results are checked by medical staff and result letters issued.
- Issue follow- up appointments as necessary.
- Assist in the collection of Outpatient statistic data when required.
- Undertake any other suitable tasks as agreed with the Performance & Operations Manager or Colposcopy Clinic Co-ordinator.
- To act as a deputy for the Colposcopy Clinic Co-ordinator in times of annual leave and sickness. To ensure that all fail-safes are adhered to.
- To maintain confidentiality and to comply with the terms of the Data Protection Act and any local Trust policies at all times.
