Job summary
Surry and Borders is looking for someone to act on the Administration duties for Adult Eating Disorders Service (AEDS) including face to face contact with the public, families, carers and other agencies, receiving and dealing with all telephone enquiries at our Guildford site location at Farnham Road Hospital.
Work timing: 9 AM to 5 PM
Days: Monday to Friday
Working hours: 37.5 hours Per week

Main duties of the job
- To greet service users and alert team members of their arrival
- To provide reception support, answering telephone enquiries, transmitting messages to team members according to priorities; whilst maintaining a helpful and courteous manner at all times
- To take notes for clinical/team meetings as required by the team
- To manage the distribution and date-stamping and associated tasks of all incoming/outgoing post
- To support team members in liaising with service users, carers, secretaries, GPs and other relevant care agencies
- Maintaining stocks of relevant forms and leaflets for team and patient use

Job responsibilities
- To be responsible for maintaining the confidentiality and security of client data in accordance with Trust policy
- To be able to use SystmOne database, including data entry, management of referrals, the Trusts records databases and accurately enter and retrieve information
- To answer and respond to any administrative queries staff have on a day-to-day basis
- To undertake photocopying, scanning and uploading of documentation onto the patients record system
- To coordinate and book rooms for meetings and patient appointments where required
- To liaise with the relevant department regarding any repairs required within the base in order to maintain a safe working environment
- Ensuring the area is secured subject to local procedures
- To undertake typing of letters & reports and be able to use audio when required. Secretarial duties including typing letters to service users, GPs and other health care professionals to support the clinical staff members
- To follow Trust and team Policies/Procedures and propose changes to practices if necessary
- To undertake any other duties at the request of the line manager which are commensurate with the role, internal job rotation and absence cover
- To contribute to a healthy and safe working environment by adhering to health and safety regulations and Trust policies
- To contribute to the prevention and control of health care associated infection by adhering to Trust policies and guidelines
