Job Summary
Manage own workload & demonstrate efficient organisation and oversee the smooth effective operation of the office. To work autonomously within a team, providing full organisational support to the consultant's practice and their team. To ensure procedures and working practices are in place so that the speciality and Trust can deliver a service that meets the standards and targets that have been set. To provide a considerate, patient focussed service in all dealings with patients and with staff around the hospital and throughout the whole system.
Main duties of the job
KEY RESULT AREAS/MAIN DUTIES AND RESPONSIBILITIES:
To undertake a full range of administrative duties for consultants and their team.
To distribute post on a daily basis to the appropriate member of staff.
Organise relevant notes, results, scans and Dictaphones for clinics. Use initiative to obtain missing details, results and x-rays.
Ensure clinic letters are available for the correct team member to sign as necessary.
Take responsibility for collecting, requesting, organising and tracking patient notes.
To take telephone calls from patients, relatives, members of the public and other professional organisations in an efficient, tactful and compassionate manner.
To maintain efficient filing and information tracking systems to ensure continuity of care, including electronic case note tracking.
To utilise Surrey Safe Care and other information systems as required. Ensure patient information has been entered correctly and amend as necessary.
Supervise and train agency and bank temporary staff and provide appropriate checks to ensure that standards are maintained.,
Collect and capture audit data as required.

An exciting opportunity has arisen for a first class admin assistant who has excellent interpersonal skills and a calm and methodical approach to provide essential administration duties to Consultants & their team within the fast-paced Gynae Oncology department.
Principle duties include assisting with letters, taking and transcribing minutes, diary management, clinic management, pulling notes, filing, distribution of post, using hospital Millennium system and other databases and liaison with other healthcare professionals. You will be expected to have an excellent telephone manner, be courteous and efficient.
