Job summary

Healthcare Partners Ltd, a wholly owned subsidiary of the Royal Surrey County Hospital NHS Foundation Trust is the central resource of professional engineering knowledge and skills within the hospital. Our services are used to support clinical services, research and development both within the Trust and also alongside external academic and clinical partners

We are looking to appoint an Equipment Library & e-Quip Administrator, to come and join the busy EME engineering team at Guildford. Your responsibility as Equipment Library & e-Quip Administrator, will co-ordinate the efficient use and management of medical devices issued from the Medical Equipment Library. These include, but not limited to VAC pumps, syringe and volumetric pumps.

We are looking for someone who has good interpersonal skills, is highly organised and has a methodical approach with attention to detail, which is vital to ensure the safe delivery of the medical equipment library service.

Main duties of the job

The Equipment Library and e-Quip administrator will co-ordinate the efficient use and management of medical devices issued from the Medical Equipment Library. These include, but not limited to VAC pumps, syringe and volumetric pumps. The post holders will have the ability to plan and organise using their own initiative and that of other staff within the Medical Equipment Library. To provide, at the request of clinical and nursing staff a range of medical equipment for patient care. You will need to be committed to flexibility and have good communication and organisational skills, to be able to liaise with colleagues and other senior staff members and be responsive and develop positive working relationships with wards and departments.

Job responsibilities

JOB SUMMARY

You will be responsible for the management of the Equipment Library, and play a key role in supporting the Head of Medical Engineering with asset management of all medical devices used within the Trust, providing assurance relating to asset availability, preventative maintenance schedules and ensure the EME department is meeting its compliance and KPI targets.

1. KEY RESULT AREAS/MAIN DUTIES AND RESPONSIBILITIES

You will be accountable and responsible for:

Ensure that equipment supplied has been labelled, maintained, is with all accessories, clean and that a functional test has been carried out prior to dispatch

Escalate events of non-availability of equipment from the library to Head of Medical Engineering and Trust Senior team

All equipment loaned out must have a traceable record on e-Quip for audit and compliance purposes.

Carrying out routine collections of loan equipment to maximise Library stock

Ensure equipment is being cleaned and decontaminated in accordance with Trust policy. Making sure all equipment is stored in a safe, hygienic and tidy manner to ensure that equipment is available for returning to wards and any equipment manufacturers and is safe for engineering technicians and trainers to carry out their duties safely and help prevent cross infection to patients when returned to clinical areas as per the Trust's Infection Control Policy.

Deliver, collect and clean medical equipment following the department's procedures between loans as and when required

The post holder is responsible for the security of the Equipment Library and its contents and the distribution and collection of equipment to and from the library to be used by others.

Ensure that accurate records are maintained within e-Quip for all loans and returns

Ensure that regular audits of all medical devices are undertaken and asset management systems are updated to reflect current status.

Manage a range of requests for devices ensuring priority is given to urgent requests.

Develop and maintain effective working relationships with staff in all clinical departments to ascertain their equipment needs

Work within the quality management system and ensure policies, processes and quality activities are maintained within specified responsibility and ensure that all failures or improvements within the system are identified

Write and maintain database documentation, including data standards and standard operating procedures (SOP) as required

Provide monthly reports to Head of Engineering of equipment availability

2. CAPABILITY

The role calls for someone with Medical device knowledge and as such the post holder will have an awareness of the ISO 9001 quality management system

Strong interpersonal skills with an ability to meet strict deadlines

Excellent IT skills which should include Microsoft Word and Excel, along with experience of using a computerised Asset management system would be advantageous

Proficient in administrative and clerical duties

Assess what course of action should be taken in relation to the supply of medical equipment, at times of shortages or unusual situations.

Complete incident reports on any events involving medical equipment associated with the equipment library and produce reports detailing findings and any corrective action required to prevent re-occurrence.

Act as first point of contact for all communication to the Library and provide information for all Wards and department across the Trust

Responsible for updating accurately detailed equipment management system to be used in relation to equipment rentals.

Filter and prioritise correspondence received by the department and take action as appropriate.

Using your own planning and organisational skills, provide an effective response to supply commonly used medical equipment to ward areas taking into account priorities of the patient and the urgency of other requests.

Monitor stock levels of all consumables used within the equipment library and order replacements as and when required.

Update and maintain records and inventories of all equipment loans, equipment stock and condition to produce reports detailing site and ward usage, length of loan, equipment type etc. for auditing and monitoring of the departments performance.

Provide support and instruction to other colleagues, both within the department and across the Trust in relation to medical devices.
