Job summary

Our team of doctors and nurses provide Sexual Health Services across Blackpool and Lancashire. They deal with a variety of sexual health related conditions, providing testing and treatment of sexually transmitted infections (STI's), including HIV, in line with national guidelines.

JOB SUMMARY:

DUTIES AND RESPONSIBILITIES
To meet, greet patients and ensure smooth running of Reception, dealing and responding to people who may have emotional or communication difficulties.
Providing general and non-clinical advice to patients and carers on the telephone or face-to-face.
To ensure patient data is entered correctly into the dedicated Lilie software system thus ensuring national quality requirements are met on a daily basis.
To deal with all visitors at reception in an efficient, courteous and timely manner, ensure all patients, visitors and colleagues are treated with dignity and respect. To be the first point of contact for all verbal patient complaints within the Department either by telephone or face-to-face.
Take responsibility for the efficient running of the reception area, including cover in reception and the production of reception rotas across several clinical sites.
To have the ability to work as part of a team, supervise all reception staff on a day-to-day basis, delegate work as appropriate and be able to cover all roles under your supervision, including reception at outlying clinics.
To authorise reception staff timesheets on a weekly basis.
To undertake general clerical duties including filing, photocopying and transmission of facsimiles.
To have the ability to maintain effective communication within the team and with other departments and external agencies, using all available media and to make informed decisions appropriate to the level of the post.
Ability to identify all issues relating to achieving targets and to bring these to the attention of the Administration Manager.
In the absence of the Statistics Officer to run daily, using Crystal Reports, statistic reports to check previous days data has been inputted correctly.
Ability to perform basic trouble shooting for office equipment such as printers, and fax machines.
Identify and assist in the delivery of training for new reception staff on the dedicated Lilie software system, including instruction in using all office equipment within Sexual Health Services.
Support the Administration Manager and Statistics Officer in the delivery of on-going training and updates relating to the Lilie software system, Telephonetics, Lab Link and the Prescribing Module to all A&C and clinical staff within Sexual health Services.
Assist the Administration Manager in the configuration/scheduling of all clinics across Sexual Health Services on the dedicated software system Lilie.
On a daily basis assist the Administration Manager in the management of the Lilie appointment diary i.e., closing clinics due to doctors sickness/annual/study leave
Lead by action and inspire others acting as a role model, demonstrating the leadership behaviours and values identified by NHS Blackpool.
To be responsible for sourcing and ordering of equipment, medical and non-medical, ensuring invoices are receipted electronically in a timely manner and to ensure payment within PCT guidelines across Sexual Health Services.
Liaise with NHS supplies, manufacturers and general suppliers as required.
Be responsible for distributing supplies, monitoring stock levels ensuring adequate stock available and ordering supplies as necessary for Sexual Health Services including outlying clinics.
In conjunction with the Administration Manager contribute to the development of the Service by continually reviewing procedures and highlighting areas for improvement.
On a regular basis update and implement Procedures relating to an effective delivery/ service of duties for all reception staff.
Participate in Service meetings on a regular basis and take minutes if required.
Must be able to demonstrate a flexible approach to work and the ability to cope under pressure.
Identify any potential problems/capacity issues relating to the effective delivery of service i.e. no appointments available, reduction in reception capacity, informing the Administration Manager in a timely manner.
Ensure you and those under your supervision comply with Trust policies, procedures and departmental protocols.
To partake in service audits as and when required.
Uphold quality standards associated with Patient Administration by ensuring the maintenance of accurate records and documentation.
The post holder may have occasion to deal with verbally aggressive or emotional patients.
To assist with local and national data collection of clinical information (eg SHRAD, GUMCAD) reports.
To be aware of the confidential nature of the service and work within the legal responsibilities as laid down in the Venereal diseases Regulations 1974 and the NHS Trust Act 1991.
Record demographic data onto the Sexual Health Services computer system, Lilie.
Retrieve printed reports and arrange for them to be forwarded to GPs from out of the area by obtaining GP address and posting the information. It may sometimes be necessary to make telephone calls to confirm postal details for out-of-town GPs.
Take responsibility for the retrieval of reports requested under access to records and forward to the trained nurses for authorisation to disclose.
Inform the nurse in charge of the clinic of any untoward incidents e.g., falls, verbal aggression, criminal damage.
Report receptionist sickness / absence to the Admin Manager.
Liaise with nursing team regarding any concerns relating to child protection issues e.g., witness cause for concern behaviour whilst in the waiting room.
Co-ordinate annual leave for the reception team.
Arrange and provide cover for sickness and annual leave including outlying clinics.
Take responsibility for the front of house ensuring the waiting area is always fit for purpose.
Act as a site trainer for the Lilie IT system used within Sexual Health Services.
Assist the Admin Manager / Personal Secretaries in general clerical duties and provide cover during periods of absence.
Attend relevant study / induction days, seminars, courses etc for individual development and for the benefit of the service.
